Student Employment Guide: includes hiring process, policies, and helpful resources
Dear Lynchburg Colleagues,
I am writing to announce the establishment of a formal University Hiring Committee, effective immediately. This committee will ensure fiscal responsibility and strategic alignment in hiring for all new and backfilled professional and graduate assistant positions.
The Hiring Committee is comprised of:
Kristen Cooper, VP for University Experience and Student Success
Price Jett, VP for Finance and Operations
Dr. Daniel Hall, VP and Chief of Staff
All requests for new or vacant professional and graduate assistant positions must be submitted to and approved by the Hiring Committee before any posting or recruitment activity. This process will allow for a thorough review of each position, ensuring that it aligns with the University's strategic goals and budgetary considerations.
The Hiring Committee will convene every two weeks to review requests for submitted positions (staff, faculty, GAs). To facilitate this process, we have developed a standardized Hiring Request Form for hiring managers to use when submitting positions.
We strongly encourage hiring managers to provide detailed and comprehensive information when completing the Hiring Request Form. This will enable the committee to make informed decisions and expedite the review process. Information regarding the position's role, responsibilities, budget impact, and strategic alignment with the department and university goals are critical to the committee's review.
In certain instances, hiring managers may be invited to attend the Hiring Committee meetings to address specific inquiries related to their position proposals. This will provide an opportunity for direct dialogue and clarification.
We understand that this new process may require adjustments, and we appreciate your cooperation and understanding as we implement this initiative to ensure responsible and strategic hiring practices across the University.
Thank you for your commitment to the University's excellence.
Sincerely,
Daniel
How to Guide: Posting Student Positions in Paycom
Students are permitted to hold only one position at a time, with the only exception being for positions that are classified as a stipend (see below).
Work Hours per Week
The Federal law advises that students, whether eligible for work study or not, may not exceed 20 hours per week during the academic year, however the University of Lynchburg policy is 10-15 hours weekly. These restricted work hours are put in place to ensure the student will not go over the allocated funds for the program. It is up to the student and supervisor(s) to ensure that the hours worked follow this policy. During breaks and over the summer, students may work up to 40 hours per week. However, in no case may a student work more than 999 hours during the calendar year since student employees are not eligible for university benefits.
The Student Employment Program uses the following five classifications. These are the only approved pay rates that can be assigned to students.
Standard Undergraduate Assistant - $11.00 per hour
Description: Entry level with on-the-job-training provided
Summer Undergraduate Assistant - $12.77 per hour
Description: Students working during the summer (see time frame in Student Employment Guide)
Event-based - Stipend payment
Description: Short-term position for a specific event/activity such as SOAR or athletic camp
Residence Life Staff - stipend payment
Description: Community Assistants (CA)
Graduate Assistant - $17.00 per hour
Description: Students enrolled in a graduate level program
All student positions must be allocated in the departmental budget. If you are unsure whether you have a budget for student assistance, please contact the senior budget manager in the Finance Office. All new graduate assistant positions must be submitted via the position request form (see below).
