If you create and organise branch, state or national level endorsed events, this page is for you!
IMPORTANT POINTS
Carnival organisers MUST have an organisation page of Liveheats with director access
All carnival organisers MUST have their bank accounts linked to Liveheats. To connect the relevant bank account, follow these instructions
Club, branch, state or national organisers will set up their carnivals on their own Liveheats pages
This is where the entry fee and events eligibility criteria will be loaded, such as proficiency, award, patrol hour checks, etc.
Please see below instruction videos and guides on how to set up your events
How to set up a carnival correctly on Liveheats

How to add or transfer athletes to a club on Liveheats
You will need to make yourself a team manager for the club to complete this process
Please follow the instructions via this Help Centre article

The transaction fees are:
Liveheats = 4%
Stripe = 1.7% + 30c each transaction
Total = 5.7% + 30c each transaction
Case study:
The cost to enter an athlete at a carnival is $50
Liveheats' fee would be ($2), and the Stripe Fee would be ($1.13)
Total = $ 3.13
If you are required to charge GST, this would also be taken out of the $50 entry fee.
Please factor these costs into your pricing.
For further breakdown of costs, please visit how help page on How Liveheats fees work
No, once you have done this once, you can create your event "Via a copy" in the create event workflow
However you will need to do this once each year when the age changes from E.g., 30th September 2025 to 30th September 2026
So long as your event is set to "Entry Open" you will be able to take entries; however, draws, results, and progressions will not be publicly displayed.
Once you mark the event as "Live" entries will have to be done offline, and athletes manually added to their respective races. E.g. Open Male Board Race, Open Male Ski Race etc.
We recommend having a card machine on hand to take payments for these entries.
The best way to help clubs is to add yourself as a team manager for that club. You can then follow the instructions on the 'Club admins' page of this site.
