POLICE RECORD CHECKS &
ANNUAL DECLARATION

Volunteers who work with children or vulnerable adults and those are in certain leadership roles require a Police Check with Vulnerable Sector Screen (VSS). A VSS must be renewed every 5 years.

Completing Your Police Check (VSS) (Every 5 years)

STEP 1: Apply

Do you live in Toronto? The process with Toronto Police recently changed and as of Fall 2023 it can now be done online. Once you've confirmed with your Ministry Leader that you need a Police Check with VSS, email Rachel van Geest (rachel@knoxtoronto.org), and cc your Ministry Leader, to initiate the process. You will be reimbursed for the cost of the VSS when you apply online. 

Do you live outside of Toronto (Peel, Durham, etc)? Once you've confirmed with your Ministry Leader that you need a Police Check with VSS then contact your local Police department to inquire about getting one - you will be applying for a Vulnerable Sector Screen. Please keep the receipt for the cost and submit it to your Ministry Staff/Leader. We will reimburse the cost.

STEP 2: Receive your Police Record Check results.

The results of your VSS will come to you by email if you have applied online or by mail to your home address. This can take a few weeks to a month or two depending on your region.

STEP 3: Bring your original Police Check results to the Church

If you apply online, please forward the PDF with password to your Ministry Leader or Rachel van Geest, Church & Ministry Coordinator (if Rachel, please include a note with your Ministry Leader's name and the volunteer position you are completing requirements for). If you have received a paper VSS, please bring in the original document.  They will review, make a copy for our records, and return the original to you.

STEP 4: Clearance from Your Ministry Leader to Begin

Once your VSS is reviewed by your Ministry Leader, they will follow up with you and let you know if there are any other details to cover before you begin (or continue) to volunteer.
