Program Expectations
The ASA program is open to kindergarten-grade 5 students.
Registration for an ASA is first come, first served. We anticipate places for all interested students.
A minimum of 8 participants is required for an ASA to run. Any ASA with less than 8 registered participants may be canceled.
Activity sessions are from 3:00-5:00 p.m. During this time all registered students
Receive 1 hour of instruction for the registered ASA activity
Are provided a snack if part of tracks 2 or 3. Track 1 students provide their own snack
Have a short recess
In addition to the ASA program policies, the KIS Elementary Student Family Handbook policies are also followed.
Refund and Session Cancelation Policy
Once registered, no refund or credit will be issued for students absent from an ASA session for any reason. Withdrawal refunds are not given unless an ASA does not meet its minimum number of participants needed to run the club.
Each season has a make-up week to make-up for holidays or canceled sessions. Make-up dates for missed sessions are at the discretion of the administration. The make-up dates are posted in the Season Calendar.
Administration reserves the right to cancel sessions based on the needs of the school or force majeure. KIS will notify parents if an activity is canceled due to teacher illness or school closure within 24 hours of the club/activity day.
If a participant is habitually not picked up on time they may lose their ASA placement for the remainder of the season without refund.
Behavior Expectations
ASA leaders foster a safe, inclusive environment where everyone feels welcome. Participants actively listen to leaders' instructions and follow their guidance, ensuring a positive and secure experience for all. Everyone is encouraged to collaborate respectfully with peers, staying engaged and focused, so that all participants can enjoy and make the most of their ASA experience.
Behavior and Discipline Policy
The behavior and discipline policy is strictly enforced. Administration may cancel future participation for any child who repeatedly fails to meet behavior expectations. All incidents are documented and addressed using restorative practices:
First Incident – Written warning and phone call with parent/guardian from club leader.
Second Incident – Written warning, parent/guardian meeting, and participant misses one session with ES Activities Coordinator.
Third Incident – Written notice of withdrawal from ASA. No refund will be issued for removal due to continued inappropriate behavior.
Dismissal
B3 Car Dismissal – ASA participants are escorted to B3 for prompt 5:00 p.m. dismissal and arranged pick up between 5:00-5:15 p.m. Supervision is not provided by teachers after students are escorted to the B3 drop off area. Please respect the commitments of our ASA instructors and arrive promptly: if a participant is habitually not picked up on time they may lose their ASA placement for the remainder of the season without refund.
Bus Dismissal – KIS provides limited bus transportation to ASA participants. Buses depart campus promptly at 5:10 p.m.
Late Pick Up Policy
Administration reserves the right to cancel the future participation without refund when pick up is habitually late. Incidents are tallied per season. Parents arriving for pick up later than 5:15 p.m. are late and subject to the following consequences:
First Incident – Written warning letter and phone call with parent/guardian
Second Incident – Written warning letter and parent/guardian meeting; participant misses one session
Third Incident – Written notification that participant is withdrawn from the ASA. If a student is removed from a club for continued late pick up, no refund will be issued
