This information is for schools that opted in to use Canvas through the Hawaiʻi Virtual Learning Network (HVLN) Hawaiʻi Online Teaching (HOT) program.
Courses in Canvas are set up in standard yearlong terms which give students access to courses from early August to the end of May. After courses end in May, courses and their data are still accessible to teachers and anyone with LMS administrative access at the school.
Starting October 15, 2026 and every subsequent year in July, courses will be concluded and then deleted. The first archive will affect courses that took place from June 2022 - July 2025.
When a course is concluded, the following changes occur within Canvas:
Student enrollments are removed.
Instructor access is shifted to read-only access.
For courses that took place from June 2022 - July 2025:
Teachers or schools who would like to export grades or other information from the Canvas course should do so before October 15, 2026.
In Course Navigation, click the Grades link.
Click the Export button, then click the Export Current Gradebook View link.
If you are using grading periods and want all grading periods included in your CSV file, click the Export Entire Gradebook link.
When the export is completed, Canvas downloads the CSV file automatically to your computer. For more information, review the Canvas Community article.
No, you are not required to export your Canvas grades. It is at the discretion of you/your school to determine whether you need this information for your records.
