Host Family Guidelines

Each school year JIS hosts various exchanges and IASAS tournaments involving sports, Fine Arts and other events. During these events, we ask our parents and families to host visiting students in their homes for two to four nights. Our visitors come from the other IASAS schools located in Bangkok, Kuala Lumpur, Manila, Singapore, and Taipei. Our students directly benefit from the same hospitality when we travel to other schools and participate in similar events held throughout the region. Hosting provides our students with the opportunity to meet families from other schools, cultivate new friendships, and it significantly reduces the cost of travel for everyone involved.

It is therefore imperative that all JIS students/families who participate in these programs understand that we will need and expect their help throughout the year. If students are chosen to represent the school on a team or in a group, the expectation is that their family will host visitors for events held in Jakarta.

If a family is not able to house for a particular event, after signing and submitting the Participation & Permission form for Athletics, then it is understood that the participant will find a replacement host to assist with their housing responsibility. The students typically will spend most of the day (Thursday, Friday and Saturday) on campus at JIS participating in the tournament or convention. They should keep you informed of their whereabouts and plans at other times so you are not worried or inconvenienced. Open communication with your guest is important, exchange cell phone #’s to keep in touch! You will receive an information email prior to the event with all details regarding guest names, school of your guests, and other related information.

IASAS Curfew is 9pm and all students must be at the hosts home by this time. Host parents do not have the authority to allow students to leave the house after curfew for any reason and it is not ok to take students out beyond the curfew time. If students ask say NO!

Child Safeguarding

JIS is a Child Safeguarding school that extends this duty of care to our guests that stay with host families during IASAS events. We would like for you to be familiar with the JIS Child Safeguarding mission, protocols, and expectations. Please watch this 7-minute instructional video: CLICK HERE.


Parent Supervision

It is a requirement by the IASAS Conference and the JIS Child Safeguarding policies that a parent or another of the host family is always at the host family’s home during the times the guests are present. House staff do not qualify as supervisors.


Sleeping Arrangements for guests

It is not essential for guests to have their own room. A normal expectation for IASAS events is that visiting guests share a room. Guest beds, temporary mattresses, and couches are acceptable sleeping arrangements.


Curfew time 9:00 PM

At 9:00 PM each evening coaches will either call athletes or contact them using social media messaging apps to make sure they are safely back at their host family’s house. It is the expectation that a parent will be home to supervise students after the curfew and speak or communicate to the coach making the curfew call should the need arise.


Uniform Washing

Help your visiting athletes by washing their uniform each night.


Illnesses or injuries

If your guest becomes ill, please contact the JIS Athletics Coordinator as soon as possible.

Transportation:

Please make sure you have a JIS vehicle sticker to facilitate access for pick-up and drop-off at JIS. It is preferable if you or your son/daughter pick-up the visiting athletes, rather than just sending a driver. Unforeseen circumstances or changes may make the daily schedule run longer than expected, please note that the times listed in the transportation schedule shared with you by email from the Athletics Office are approximate and you should be communicating regularly with your guests.


Additional Expectations – these rules apply to all IASAS Exchanges and Championship Tournaments:

  • Smoking, drinking alcohol, drug abuse, deceit, or flagrant curfew violations by participants or student hosts as well as aiding and abetting any of the above will not be permitted during any IASAS exchange or tournament.
  • Host parents/guardians must be present in their home for the duration of the tournament/competition. Visiting participants traveling to any IASAS exchange or tournament are under the care of their host family, and the host family is in charge of making the evening plans.
  • Visiting students are guests in the host’s home and are to follow the rules of the host family.
  • Exploration of the local environment by participants or student hosts will not be permitted without the consent and supervision of the host parent/guardian.
  • Housing assignments may not be changed.
  • Any problems arising during the event should be reported immediately to JIS.
