Purpose

The purpose of this document is to describe the TIP computer eligibility criteria, describe the TIP procedure for supplying eligible employees with TIP computers, replacing TIP computers on a 4-year replacement cycle and effectively acquiring TIP computers back from employees who no longer meet eligibility requirements. KETS funds are the primary source of funding used for TIP.

Eligibility Criteria

An Employee’s work location must be a school location. If an employee is paid out of a central office location, they do not receive a TIP laptop. No part-time employees receive a TIP.

The following categories of employees are eligible to receive a TIP computer.

Scope

This procedure affects the group of employees listed under the eligibility criteria. The scope of who is affected by this procedure can vary depending on the KETS funding level which varies on a year-to-year basis. If KETS funding is reduced considerably, certain groups could be removed from receiving TIP computers. The groups removed would be in the following order:

1. Talent Development Academy Coaches/resource teachers/Mental Health Counselors

2. Speech-language pathologists

3. Librarians

4. ECE teachers

5. Teachers

6. Resident Teachers

Definitions

KETS Funding – Kentucky Education Technology System offers a certain dollar amount each year based on a school’s ADA (Average Daily Attendance). This funding fluctuates yearly.

Procedures

New Eligible Employee Procedure – based on the MUNIS ERP system, the new employees identified under the eligibility criteria can receive a TIP computer.

Replacement Procedure – the replacement cycle for TIP computers is 4 years. All eligible employees will be notified about their replacement computer based on the purchase date of their previous computer. At that time, they must return their current TIP computer, power adapter, and all accessories provided to them during the previous disbursement.

Returns Procedure – The returns procedure ensures that Information Technology (IT) can refurbish used TIP computers to be reissued to eligible new employees. IT continuously monitors the eligibility of employees who have received their TIP computer. Normally, employees become ineligible when they leave the district or move into a position within the district that does not meet the TIP computer eligibility requirements (please refer to the eligibility criteria section). Should an employee become ineligible to have a TIP computer, IT will request for his/her computer and power adapter to be returned so that the TIP computer can be reissued to a newly eligible employee. If we do not receive the computer or power adapter the school could be charged either for the depreciated value of the computer or the replacement cost of the power adapter.
