Automated emails will be sent to the nominated email address for each branch when:
New bookings have been assigned
Details of an existing shift have been changed
Upcoming booking has been canceled
Automated emails will contain:
Shift times, dates, and roles needed
The number of workers required for each day

You can get to the Jobs Tab by clicking on the "Jobs" tab or the Indeed Flex logo at the top left.
On the Dashboard, you can:
Use the Search features to filter by Job ID, Client, Locations, Roles, Rates, Shift Times, and Allocation Status.
Open a summary of the Allocated job by clicking the Button ⚫️ under the Date /Time field.
The Dashboard has three statuses. Pending, accepted and completed.
Statuses
Pending: All the new jobs that require a response
Accepted: These jobs still require some action
Completed: There is no more action to take in filling these jobs
Actions
Respond: Respond to a new allocation by either Accepting, Declining, or Amending.
Book Workers: Add talent to shifts after you have accepted or amended the allocations
View Workers: Manage talent that is already booked on a shift. (EX: Needing to remove a worker or replace a worker)
Accepting a booking: You can accept the booking with no modifications by clicking "Confirm" on the bottom right.
Amending a booking: You can adjust the number of allocations being sent to your Agency. (For example, if you are allocated 9 slots to fill and know you can only fill 7, you can amend the amount to 7 then click "Confirm" on the bottom right and only accept the 7. The remaining allocations will then be distributed to the next ranking agency.)
Declining a booking: If you are unable to fill any of the allocations, you can click "Decline all"
Note:
Agencies have a 48-hour window to Accept (confirm the allocations), Amend (make adjustments and then confirm the allocations made to you), or Decline all allocations.
Agency Tier System
Tier 1: You have up to 7 days to enter your talent details
Tier 2: You have 5 days to enter your talent details
Tier 3: You have 2-3 days to enter your talent details

Benefits of Accepting Allocations on Time:
Maintain/ Improve Tier status
Receive more allocations
Receive more relevant allocations sent to you by declining specific allocations that do not pertain to you (Your Agency Account Owner will work with you either weekly or bi-weekly to make sure your agencies specific needs are being met)
Risks of Not Accepting, Amending, or Declining Allocations on Time:
Drop in tier status (you will no longer be able to have the flexibility with the dates to enter in talent information)
Each agency is reviewed bi-weekly therefore if a recurrence of allocations not being accepted, amended or declined occurs within the time allotted, allocations will be prioritized to another agency.
The "book workers" page shows the Job Information, location, and requirements for the booking. To the right of the page, you will see the two tabs. Available workers and Booked workers
Available Workers tab allows you to search candidates already submitted to the Agency Portal. Here you can use the Search Box to search for a candidate to fill the role. If the worker's name does not populate that worker may already be booked on a conflicting shift. You can also add a new worker to the platform by selecting the "Add Worker" button on the right side of the page.
Booked Workers tab allows you to manage the workers you have booked on this shift. You can send the worker a Job Card containing the Role, Venue Address, Uniform Requirements, a link to Google Maps, Shift times, and any Access Instructions the candidate will need to access the venue. Here you can also remove a worker from the shift. (prior to 24 hours before the shift starts.)
** If you are needing to remove a worker from a shift within 24 hours of the shift start time please contact your Account Owner or the US Partnership Team at partnerships@indeedflex.com **
Remove individual unfilled allocations: This button is located on the left of the page. If you are unable to fill the allocation for any day(s), deselect "all" and click on the check box of the day(s) you are unable to fill. After, click on the button "remove unfilled allocations" to remove the shift for the day(s) you selected.
Remove ALL unfilled allocations: To remove all unfilled allocations, ensure the "all" button is selected. Click "remove unfilled allocations" and it will remove all allocations remaining for all days.
Note:
Remember to remove any unfilled allocations you may have by clicking on the "remove unfilled allocation" button, if you, the agency are unable to fill the remaining allocation.
Send job - Using the Send Job button sent a notification to the email you have on file for the worker. This feature will prompt an email from help@indeedflex.com and will include the following information: Role, Venue Address, Uniform Requirements, a link to Google Maps, Shift times, and any Access Instructions
In the "Timesheets" tab, you are able to filter by the following:
All Clients
All Locations
All Workers
All Roles
Status
All Status- see all awaiting submission, approved, no show, submitted, and upcoming
Awaiting Submission- timesheet is due and needs to be submitted
Approved- lets agency know the client approved the timesheet (that was submitted by the agency on Monday by 11:59 PM)
No Show- a talent did not show up for the shift allocated
Submitted- timesheet was submitted for approval
Upcoming- future allocated shifts
Date Range
You can select the date range (just like selecting the date range for booking a plane ticket) to edit the timesheet that has passed
View By Client / View by Worker
Note:
You can filter in accordance with what you need for the timesheet and can export with the "Export CSV" button located at the top right.
The Workers Tab shows a list of all the workers you have inputted into the platform.
To add a New Worker click the button "add new worker" located in the middle of the page.
Type in the first name, last name, Full DOB, Last 4 digits of SSN, email address, and phone number.
(note: be sure the email address is accurate as the talent will receive an email from help@indeedflex.com with the job information).
There are two sub-categories on the Agency Tab: Agents and Branches. The Agent Tab allows the user to add and manage platform users ( Recruiters, Payroll Employees, Branch Managers, etc.) and gives the agency control of what view each user has by attaching specific branches, specific clients, and industries. The Branch Tab allows agencies that have multiple branches to add them to the portal.
Admin Accounts
Admin Accounts have visibility over all bookings on the platform and are recommended for centralized account holders who require greater visibility. Accounts with Admin Access will have the ability to Add New Recruiters to the platform, Manage/ Change portal access for existing Recruiters, and Disable any accounts that no longer need access to the Portal.
Standard Accounts
Standard Accounts are restricted to viewing bookings only for venues that have been assigned to them. Standard accounts are recommended for branch-level recruiters to minimize the Allocations being shown on the portal to only those that the recruiter is working on. (Ex: If your agency has multiple branches across multiple states Standard access will allow you to assign specific recruiters specific clients/roles/venues so that recruiter does not have to use the filter to find the allocations they are working on.)
Disabled Accounts
Admin users are able to disable an account if a person is no longer needing access to the Indeed Flex portal.
How to invite new platform users
How to Create an Account for a Branch
Agencies can create an account relevant for each Branch Manager or individual in charge of the branch to manage specific allocations and venues relevant to that branch. Please ensure the steps below is completed before inviting the Branch Manager.
Click on the "Agency" tab and then "Branches"
Click add "Branches" located at the top right
Add in the branch details and click "Save"
After the branch is added, agencies can create an account for the Branch Manager by following the steps below:
Go to the "Agency" tab, click on "Agents"
Click "Invite" located at the top right to create an account for the branch manager or individual in charge of the branch location
Select the specific industry, venues, branch location, and all information requested
