Timelines/ Tasks for Agencies
Before agencies send their first invoice:
Agencies MUST send W-9 and Banking formation to purchasing@indeedflex.com BEFORE the first agency shift occurs. Otherwise, please expect delayed payment.
Client Operations will send each agency a billing summary with approved hours and charges before the agency sends Flex the bill.
Invoice Requirements:
Week Ending date
Client Information (Name, Location - Branch specific if applicable)
Total hours per worker
Bill Rate
PO number (from billing summary)
PDF & CSV format
Agencies will send the final invoice to purchasing@indeedflex.com by EOD Wednesday for the previous week ending Sunday,
All invoices need to be in PDF and CSV format to be accepted.
A PDF invoice is required for each client (ex: If an agency has multiple clients they are sourcing for, they would need to submit a PDF file for each client)
INVOICES WILL NOT BE PROCESSED IF MISSING PDF OR CSV.
After an invoice has been received:
All invoices will be paid NET 30 days unless specified in the agency contract.
The Purchasing department will email the agency a list of rejections and required revisions weekly. If an invoice is rejected, the agency must submit a revised invoice within 7 days of communication. The date on the revised invoice should be the new invoice submission date, not the original invoice date.
On the first of the month, agencies MUST send a monthly aging report to Purchasing@indeedflex.com.
Agencies are encouraged to use their preferred invoice templates to submit invoices. Below is a guide showing what Information is needed. When submitting invoices to Indeed Flex, please separate them by each client.
