STUDIO POLICIES

Welcome to High Voltage Dance Company!

We are committed to providing a safe, positive, organized, and professional environment where every dancer can thrive. By registering for any class, camp, clinic, workshop, or program offered by High Voltage Dance Company ("HVDC"), you acknowledge that you have read, understand, and agree to abide by these Studio Policies. These policies apply to all recreational and competitive programs unless otherwise stated. Policies may be updated throughout the season. Families will be notified of significant changes through Dance Studio Pro, email, or other official communication channels.

1. REGISTRATION & ENROLLMENT

Annual Registration Fee

⋅ A non-refundable annual registration fee of $35.00 per family is due at the time of registration.

Enrollment

⋅ Enrollment is accepted on a first-come, first-served basis and is subject to class availability.

⋅ Registration is not complete until all required information has been submitted and applicable fees have been paid.

⋅ HVDC reserves the right to refuse or discontinue enrollment when necessary to maintain a safe, positive, and productive learning environment.

Class Placement

⋅ Class placement is based on age, technical ability, maturity, previous experience, and instructor recommendation.

⋅ HVDC reserves the right to place or move a dancer into the class that best supports their growth and development.

2. TUITION & PAYMENTS

Tuition

⋅ Monthly tuition is due on the 1st of each month.

⋅ Tuition reserves a student's place in class and is based on enrollment, not attendance.

Tuition Discounts

Multi-Child Discount

⋅ Each additional child enrolled after the first receives $5.00 off monthly tuition.

Multi-Class Discount (Per Student)

⋅ 3 Classes: $15.00/month discount

⋅ 4 Classes: $20.00/month discount

⋅ 5 Classes: $25.00/month discount

⋅ 6 Classes: $30.00/month discount

⋅ 7 Classes: $35.00/month discount

⋅ 8 Classes: $40.00/month discount

⋅ 9 Classes: $45.00/month discount

⋅ 10 Classes: $50.00/month discount

⋅ Eligible discounts are automatically applied through Dance Studio Pro.

Auto-Pay

⋅ Families may enroll in Auto-Pay during registration.

⋅ By enrolling in Auto-Pay, you authorize HVDC to charge your selected payment method on the 1st of each month for any outstanding balance.

Late Payments

⋅ A $15.00 late fee will be applied to tuition balances not paid within 14 days of the due date.

⋅ Accounts with unpaid balances may result in suspension from classes, delayed costume orders, ineligibility for performances, or loss of enrollment until the account is brought current.

Returned Payments

⋅ Returned checks or failed bank payments are subject to a $35.00 returned payment fee.

3. WITHDRAWALS & REFUNDS

⋅ Tuition is non-refundable and non-transferable.

⋅ Tuition will not be prorated or credited for missed classes, vacations, illness, holidays, weather closures, or personal scheduling conflicts.

⋅ Tuition reserves your child's place in class regardless of attendance.

⋅ Families wishing to withdraw from a class must notify HVDC promptly.

⋅ Students who miss two or more consecutive classes without notification may lose their enrollment if another student is waiting for placement.

⋅ If an extended absence is anticipated, please contact the studio so we can discuss available options.

4. ATTENDANCE, HOLIDAYS & STUDIO CLOSURES

Attendance

⋅ Regular attendance is essential for continued progress and successful participation in classes and performances.

Holiday Closures

HVDC follows its own holiday calendar and does not necessarily follow Calvert County Public School closures.

Tentative holiday closures include:

Halloween, Veteran's Day, Thanksgiving (Wednesday-Friday), Winter Break (Two Weeks, Week of Christmas through New Years Week), MLK Jr Day, Presidents' Day, Spring Break (Follows CCPS closure with the exception of Easter Monday), Memorial Day

⋅ Holiday dates are subject to change.

Weather Closures

⋅ HVDC does not automatically close when local schools are closed.

⋅ Weather decisions are based on current road conditions, instructor availability, and local forecasts.

⋅ Whenever possible, closure decisions will be made by 4:00 PM.

Make-Up Classes

⋅ Make-up classes may be offered at HVDC's discretion.

⋅ If a make-up class is scheduled, families will be notified through Dance Studio Pro or email.

5. HEALTH & ILLNESS

⋅ Students should remain home if they have a fever, vomiting, diarrhea, symptoms of a contagious illness, or are otherwise too ill to participate safely.

⋅ Students should be symptom-free for at least 24 hours before returning to class.

⋅ Please notify HVDC if your child will be absent due to illness.

⋅ If a dancer becomes ill during class, a parent or emergency contact will be contacted and prompt pick-up will be required.

6. STUDIO COMMUNICATIONS

HVDC communicates important information through:

⋅ Studio Pro Parent Portal

⋅ Email

⋅ Text Messages

⋅ Band (Company Team)

⋅ Official Social Media Accounts

⋅ Parents and guardians are responsible for keeping their contact information current and regularly reviewing studio communications.

⋅ Failure to read or receive studio communications does not exempt families from studio policies, deadlines, financial obligations, or other studio requirements.

7. PARENT RESPONSIBILITIES

Parents and guardians are responsible for:

⋅ Keeping emergency contact information current.

⋅ Ensuring tuition and fees remain current.

⋅ Reading studio communications promptly.

⋅ Arriving for drop-off and pick-up on time.

⋅ Ensuring dancers arrive prepared with the required attire, shoes, and hair.

⋅ Notifying the studio of extended absences or withdrawal requests.

⋅ Informing the studio of any changes to contact information, medical information, or emergency contacts.

8. CLASS CHANGES & CANCELLATIONS

HVDC reserves the right to:

⋅ Cancel classes due to insufficient enrollment.

⋅ Combine classes when appropriate.

⋅ Adjust class schedules.

⋅ Change instructors when necessary.

⋅ Modify class offerings throughout the season.

⋅ Notify families of significant schedule changes through official studio communication channels.

9. CONTACTING THE STUDIO

⋅ Questions regarding registration, billing, schedules, classes, or studio policies should be directed to the studio email address.

⋅ To allow instructors to prepare for and conclude classes, please do not initiate lengthy conversations immediately before or after class.

⋅ If additional discussion is needed, we are happy to schedule a convenient time through email or the front desk.

10. POLICY CHANGES

⋅ High Voltage Dance Company reserves the right to revise or update these Studio Policies at any time.

⋅ Updated policies become effective upon publication unless otherwise stated.

⋅ Families will be notified of significant policy changes through Dance Studio Pro, email, or other official communication methods.
