During the academic school year there is no rental fee for all events owned and operated by Hastings College but you still pay for catering, AV, custodial services, etc. (set-up and coordination) fees, if applicable.
Contact Alanna Armstrong (aarmstrong@hastings.edu) when you are planning a large internal event, conference, or reception or when contacted by an external organization about planning an event. Internal meetings can be scheduled directly by HC employees - any event or meeting involving external clients or the public needs to be coordinated through Alanna.
The first step in planning an event is to request a space using Google Calendars. Currently not all calendars are visible for everyone to see and request. Please visit Reservable Spaces to see who to reach out to on securing your request.
**If you will need linens and place settings, please add additional time to your event and let the reservationist know so they can mark it on the calendar in order for proper setup and clean-up, and to avoid conflicts with events that will take place either before, or after your event.

You must request resources, such as technical equipment, tables and chairs through the appropriate channels below. Keep in mind that YOU are the organizer of your event(s). For your event to run smoothly with no issues you must follow through on where to submit all requests. Out of respect for everyone's time and schedules, it is strongly recommended that all services and requests be submitted at a minimum 10 business days before the event. Failure to do so could result in some support services being unavailable or limited.
Furniture requests, custodial services, table set-up & take down: Submit a work order ticket on School Dude Setup Request. Before submitting a ticket please review the Event Setup Guidelines. **PLEASE NOTE: Requests for events will need to be submitted at least 48 hours in advance. The maintenance office is closed on the weekends, any requests submitted on Friday will be looked at the following Monday.
Technical equipment: Send a request to IT through helpdesk@hastings.edu to get doors unlocked outside of normal hours. at least 10 business days before the event.
Unlocking of Doors: For buildings without fob access that need to be opened for an event, please schedule this by emailing campussafety@hastings.edu.
Catering: All food is to be catered by Hastings Dining unless given written approval from them of other arrangements. Please submit your requests through dining@hastings.edu.
