Books Purchase Procedure

Library Text & Reference Books Purchase Procedure

To ensure timely availability of Text books, Reference Books for each Semester and also Journals, Periodicals and other materials of Library; following procedure shall be adopted for generating the Purchase Requisition

  1. Faculty members to initiate requisition for text books (prescribed books for subjects) and reference books (further suggested readings or books for all the subjects), journals and periodicals etc. to GSFC U Library through the attached form Download the Book Request Form
  2. Before initiating the requisition, please check availability of the indented item in the library Online Catalogue
  3. Once the Purchase requisition for the text & reference books, journals etc. received, the Library will check the existing collection to avoid duplication. In case if the indented items are available in the library, it will be informed to the concerned faculty.
  4. If the faculty initiates the requirement for latest edition and if the library has the earlier/previous editions, the latest editions will be considered for purchase.
  5. If the faculty does not know name of the Author, publisher or any other information related books to generate the PR in detail, Librarian shall provide the missing details through web or other sources on receipt of written request from the faculty.
  6. Requirement raised through mail/hand written copy shall not be taken for processing.
  7. It is suggested to initially indent limited number of copies (not more than five) for each text & reference books (maximum two copies).
  8. One copy of the textbook (or suggested by the concerned faculty) and all the reference books will not be issued to the students.
  9. Requirement for text & reference books for the respective semesters must be generated by each year mentioned period indicated below :

Semester Period Dates for Recommendation

July – December 1 to 10, April

January – May 1 to 10, October

10. For developing the collection other than text & reference books there is no specific deadlines for procurement. Purchase requisition can be raised at any time.

11. Subsequently the defined procedures for approval and procurement process will be followed.
