Clear ownership is what keeps a hybrid fair from becoming two half-run events. Write responsibilities into the brief and assign them by name or team.
Usually owns recruitment objectives, candidate eligibility, privacy decisions, employer approvals and internal sign-off.
Generally responsible for accurate profiles, recruiter availability, job information and timely follow-up with candidates.
May handle project planning, registration operations, guest communications, employer onboarding coordination, check-in, badges, queue planning, run-of-show management and wider event delivery. Platform configuration and connected workflows can be scoped separately where needed.
Technology does not remove the need for staff. Set support hours, escalation routes and fallback steps for failed connections, absent recruiters, programme changes and venue connectivity. Run role-based rehearsals that cover normal journeys and likely exceptions.
Which candidate and recruiter journeys are in scope?
What is configured, what is custom and what depends on a third party?
How do on-site and remote schedules stay aligned when plans change?
How are recruiter accounts and last-minute substitutions handled?
Who supports candidates before and during the fair?
What data is collected, who can access it and how is it exported?
What testing and acceptance process is included?
What are the fallback plans for video, connectivity or staffing failures?
Compare proposals against the same scenarios and acceptance criteria. Keep a shared decision log of essential requirements, optional extras, dependencies and exclusions. Where several systems hold data, define the source of truth for each. If you want one team to coordinate the delivery, talk to Get Out! Events.
