A graduate recruitment platform is only one part of a hybrid fair. Buyers can procure one coordinated scope or split it among the institution, an event agency and technology suppliers. Either way, define the scope clearly.
Candidate registration and communications: fields, confirmations, reminders and support contacts.
Employer onboarding: profiles, recruiter access, briefing materials and deadlines.
Fair discovery: employer listings, filters and links to opportunities.
Interaction formats: livestreams, moderated Q&A, one-to-one meetings, group chats or booth conversations.
On-site operations: check-in, badges, queues, wayfinding and crew.
Data and follow-up: lead fields, exports, handover rules and reports.
Candidate experience. Test how quickly a student can understand the fair, find relevant employers and join a conversation. Check mobile use, browser needs, accessibility and what happens when someone misses a session. Ask for the full journey, including emails, not just the landing page.
Recruiter workflow. Recruiters need clear access, schedules, candidate context and follow-up rules. Check how shared access and last-minute staffing changes work.
Operational control. Look for clear ownership of check-in, queues, session starts, moderation, support and incident escalation. Each feature should map to an operator, a deadline and a fallback.
Data handling. Define what is collected, why, who receives it and how long it is kept. Assess access controls and consent wording against your own privacy and procurement rules, and seek proper advice where needed.
Where livestreaming, registration and engagement tools are separate, validate how they connect during scoping. Feature lists rarely tell you how well two systems work together on the day. Get Out! Events explains how it scopes connected workflows in its campus recruitment fair buyer guide.
