The most useful planning exercise for any exhibition is a simple map of who is coming and how each group should be treated. Do this before anyone builds a form, because it decides the questions you ask, the messages you send and the badges you print.
Trade visitors: often asked for company and job information.
Public visitors: usually a lighter form and a quicker journey.
Exhibitors and stand staff: early access and their own badge type.
Contractors and crew: build-up and breakdown access.
Speakers: stage access and a briefing point.
Media: accreditation and a press area.
VIPs and hosted buyers: personal welcome and escorted routes.
Entry: are they invited, imported from a list, self-registering, applying for approval or registering onsite?
Validation: what information is mandatory, and who checks exceptions?
Communication: which confirmations, reminders and arrival instructions do they receive?
Arrival: which lane or counter do they use?
Admission: what confirms eligibility, and what happens when a record is missing or duplicated?
Reconciliation: what record is needed after the show?
Exhibitor management deserves its own plan. Exhibitors need badge allocations for stand staff, a way to add or swap names, build-up access for their contractors and a clear contact when something goes wrong. Agree a cut-off for name changes and a process for late requests so the registration team is not overwhelmed during setup.
Every extra field adds friction for attendees and more data to protect and reconcile. Separate information that is genuinely needed from information that is merely interesting. If a field does not change how someone is admitted, communicated with or reported on, question whether it belongs.
Decide who signs off attendee categories, form fields, communications and admission rules. These choices shape every later stage, so the person with authority should be involved from the start.
