A planning guide by Get Out! Events.
An exhibition brings many kinds of people through the same doors: trade visitors, members of the public, exhibitors, contractors, speakers, media and VIPs. Each group arrives with different needs and different permissions. Exhibition attendee management is the work of giving every one of them a clear, controlled journey from registration to admission and, finally, to an accurate record after the show.
This guide is for exhibition organisers, associations, corporate event teams and agencies scoping that work. It does not compare software. Instead it explains how to design the process first, so that whatever tools you choose have something solid to support.
Exhibition event management differs from conference planning. A conference centres on delegates and sessions. An exhibition has multiple visitor and exhibitor categories, floor-specific access, walk-ins, opening peaks and handovers across several contractors. A single generic registration flow rarely copes with all of that.
Start by naming who owns attendee data, approvals, exceptions, equipment, staffing and onsite decisions. Technology should support that operating model, not replace it. Once those owners are agreed, choosing forms, scanners or badge printers becomes much simpler.
Before the show: registration forms, invitations, confirmations, list control and testing.
On the show floor: counters, check-in, badges, VIPs, walk-ins and exceptions.
After the show: attendance reconciliation and an agreed reporting handover.
Visitor Categories maps the groups you need to plan for. Show Floor Arrival covers onsite flow. Data and Handover deals with records, privacy and supplier selection.
Get Out! Events sets out its scoping approach in its exhibition attendee management buyer guide.
