Attendee management does not end when the doors close. The records you keep, the reports you share and the way personal data is handled all need to be agreed before registration opens.
Decide what you need after the show: registration status, category totals, attendance records or an issue log. Agree who receives each report, when and in what format. Changing reporting requirements after the event is much harder than building them in from the start.
Exhibition registration collects personal information about attendees. In Singapore, organisations should handle it in line with the Personal Data Protection Act and their own policies. Collect only what you need, explain how it will be used, and agree retention, deletion or return arrangements with your own advisers. A supplier can support documented requirements but should not present operational guidance as legal advice.
List every task and give it an owner, a deadline and an approver. Typical items include attendee-list preparation, data imports, form approval, sender details, badge artwork, equipment, connectivity, front-of-house furniture, staff briefing, walk-in policy, replacement badges, VIP handling, late changes and final reporting.
Which attendee categories and journeys are included?
How are duplicates, incomplete records and changes managed?
What happens when an attendee cannot find a confirmation?
How are walk-ins, exhibitors, VIPs and media routed onsite?
What testing will happen, and who signs off each stage?
How are scope changes handled if the floor plan or rules change?
A suitable supplier explains the complete attendee journey in operational terms. A polished interface matters less than clear ownership, sensible exception handling and visible assumptions about venue access, power and data. Ask each supplier to list their assumptions in writing.
