Technology projects become fragile when everyone assumes someone else owns a task. The organiser, consultant, venue, platform provider, production team and exhibitors all hold essential inputs. Show readiness is about making those responsibilities explicit and proving the whole system works before doors open.
Name who prepares data, approves workflows, supplies hardware, confirms connectivity, runs tests, trains users and authorises live changes. Include build days, not only show hours, because exhibition and event set up is when many late decisions get made.
Agree what information is collected, why it is needed, where it moves, who can see it and how long it is kept. Obligations under Singapore's personal data rules and any contracts depend on the event and the providers chosen, so organisers should take appropriate professional advice where needed. Plan access removal and data handover at the end of the show as part of the scope, not as an afterthought.
Valid registrations, duplicates and records with missing fields.
Last-minute registrations and walk-ins.
Failed scans and replacement badges.
Connectivity drops and a device that will not start.
The manual fallback, practised by the people who will use it.
Agree acceptance criteria before testing begins, so everyone knows what counts as ready.
Network conditions, power points, installation access and loading arrangements all affect delivery. Check current details with the venue, and include their technical team in at least one planning session.
Useful measures might include smooth arrival flow, accurate credentials, exhibitor adoption of lead capture, completion of planned interactions, support response and timely reporting. Only set targets once you understand how each will be measured.
