Exhibition and event management teams rarely need a consultant for everything. The right scope depends on how much the organiser can run internally and how many suppliers are involved.
Requirements and solution design: user journeys, functional requirements, constraints and evaluation criteria, often delivered as a brief, process maps and a responsibility matrix. Suits organisers who will buy and manage tools themselves.
Supplier and platform evaluation: testing candidate tools against the agreed requirements, including integration, support, data handling, implementation effort and exit arrangements.
Implementation coordination: configuration planning, data preparation, integration and testing. Contracts should still state who owns each configuration and approval.
Show-day operations: check-in coordination, badge workflows, queue planning, device readiness, supplier liaison and escalation.
A polished demonstration shows the happy path. Ask suppliers how they handle exceptions, outages, late changes and on-site support. The strongest proposal is not the longest feature list. It is the one that makes assumptions visible, assigns responsibilities and explains how the approach will be tested.
Discovery: do they study workflows before recommending tools?
Exhibition relevance: do they cover exhibitors and organisers, not only visitor registration?
Independence: are recommendations tied to your brief or to a platform they already sell?
Delivery detail: are testing, training, deployment and fallback planned?
Integration clarity: are interfaces, data formats, owners and limits documented?
Accountability: is there a clear escalation path for build days and show hours?
Commercial clarity: can you see consulting, licences, hardware, connectivity and staffing as separate lines?
If the exhibition also runs a conference programme, consider a separate workstream for session access, speaker workflows and content delivery. Those needs go beyond the show floor.
