Before anyone talks about platforms, a consultant should understand how the exhibition is meant to work. A trade show with hosted buyers needs different technology from a public showcase, a recruitment fair or a brand exhibition built around one product. Visitor numbers matter, but so do arrival patterns, access rules, exhibitor activity and the decisions organisers need to make while the show is open.
Visitors: invitation, registration, confirmation, arrival, entry, finding their way, taking part and follow-up.
Exhibitors: onboarding, staff credentials, content submission, lead handling and support.
Organisers: approvals, data access, issue escalation, reporting and change control.
Operations teams: deployment, device management, queue response, troubleshooting and reconciliation.
Mapping shows dependencies early. A badge format, for example, affects kiosk hardware, lanyard preparation, access checks and the way exhibitors scan leads. A digital passport or reward trail depends on identity rules, participation mechanics and dependable connectivity on the floor. These are operating decisions as much as technical ones, and they are far easier to change on paper than at the venue.
A simple way to organise registration scope is by stage:
Before the show: forms, invitations, confirmations, list control and testing.
On site: counters, queues, check-in, badges, VIPs and exceptions.
After the show: attendance reconciliation and an agreed reporting handover.
Each step in a journey becomes a requirement: what must happen, who does it, what information they need and what happens when something goes wrong. Write down exceptions as carefully as the normal path. Late registrations, lost badges and exhibitors who change staff at the last minute are where systems tend to break.
Once the journeys and requirements are agreed, the organiser has a clear brief to take to suppliers, with assumptions visible rather than hidden inside a demonstration. Get Out! Events treats this mapping as the first stage of any exhibition technology engagement.
