Comparing proposals is easier when every supplier answers the same questions. Use this list in your brief and score responses against your own requirements rather than counting features.
Which parts of our sponsor journey are standard setup, custom work or third-party services?
What must sponsors and organisers provide, in what formats and by when?
Who owns each integration, and how will it be tested?
What training, rehearsal and live support are included?
How are entitlements shown consistently onsite and online?
Which attendee actions can be measured, and what does each reported figure actually mean?
Which deliverables stay available after the event, for how long and in what format?
How are permissions, consent, exports and data retention handled?
What happens if sponsor content arrives late or a planned feature is unavailable?
What assumptions could change the timeline or responsibilities?
Weight essential sponsor outcomes, attendee usability, delivery effort, support coverage and privacy. Record exclusions and dependencies next to each score. When leadership or sponsors later ask why a supplier was chosen, you will have a clear answer.
The organiser usually owns sponsor contracts and final decisions. The event team handles schedules, content, communications and onsite coordination. The technical supplier configures approved features and provides agreed exports. Sponsors supply accurate, rights-cleared materials on time. Writing this down avoids gaps on event day.
