Not every event needs a large all-in-one platform. A focused setup that your team can run reliably often serves sponsors better than a long feature list that nobody has time to configure.
Does it deliver something a sponsor has actually been promised?
Will attendees use it without extra effort?
If the answer to either is no, treat the feature as optional.
Ask suppliers to show the attendee journey, not only the admin screens. How quickly can a user find a sponsor, understand an offer and act on it? Check this on phones as well as laptops, and under realistic venue conditions.
Clarify how sponsor features connect with the livestream, session schedule, venue signage and show calling. Do not assume two systems connect just because both mention integrations. Confirm and test every link before the event.
Write down what attendee information is collected, why, who sees it and how long it is kept. Sponsor access to attendee details should follow the consent model stated to attendees. Take proper legal or privacy advice where needed, rather than relying on platform settings alone.
Ask about support hours, escalation routes, permissions and recovery if content is lost. The useful question is how the team spots a problem and keeps the event running with the least disruption.
Conferences, exhibitions, festivals and awards ceremonies each place different demands on sponsor visibility. Shape the scope around the format you are running.
