A clear brief is the most useful document you can give a streaming supplier. It lets you compare proposals fairly and shows quickly which supplier has understood the show. Start with the audience and the programme, not the product.
Audience: who will watch, from where, in which languages, on which devices and with what accessibility needs.
Access: public, invitation only, registered, ticketed or limited to your organisation.
Programme: running time, intervals, multiple stages, pre-recorded segments and audience participation.
Experience: chat, reactions, polls, moderated questions, sponsor content or artist interaction.
Production: camera coverage, audio mix, graphics, playback, captions, recording and show calling.
Operations: rehearsals, viewer support, moderation, escalation and reporting afterwards.
Viewer journey. Test the path from invitation to playback yourself. Viewers should know where to go, when access opens and what to do if the stream does not start.
Fit with production. Ask how the platform receives the programme feed, handles picture quality and delay, displays graphics and behaves if the incoming signal drops. Prove compatibility with a test using your real equipment and venue connection.
Interaction. Every interactive feature needs someone to run it. If you do not need chat or polls, a simpler viewing page may reduce distraction and risk.
Data and privacy. Ask what viewer information is collected, who can see it and how long it is kept. Check the arrangement against your own organisation's policies, and seek legal or compliance advice where necessary.
Which parts of the viewer journey and production are in your scope?
What must the organiser and venue provide?
What happens if the main connection, encoder or programme feed fails?
Which rehearsals are included, and who approves going live?
What will you deliver after the event, and in which formats?
