Most streaming problems are decided long before the show starts. A clear list of owners, a proper rehearsal and a written backup plan turn a stressful night into a routine one.
Gaps between the event team, the venue, the production crew and the platform supplier are where streams fail. Give each of these tasks a named owner:
Venue internet and power for streaming equipment.
Camera direction and broadcast audio.
Graphics, captions and playback of pre-recorded content.
Platform settings, access lists and viewer communications.
Chat moderation and responses to questions.
Technical support for viewers who cannot get in.
Recording and incident escalation.
A platform demonstration is not a rehearsal. Schedule a full run with representative content, the actual equipment and the people who will operate it, early enough to fix what you find. Test from the viewer's side too, on a phone and a laptop, outside the venue network.
Continuity should never be a vague promise. Ask for a written plan that covers backup connectivity, spare equipment where appropriate, power, fallback content such as a holding slide or a short video, and who decides what to do if the feed drops. Decide in advance what viewers will see and be told during any break.
Online viewers feel forgotten when the stream shows an empty stage. Fill changeovers with a host, interviews or short features, and acknowledge the online audience by name or location where it suits the show. Keep a support channel open throughout.
Confirm what has been recorded, check that any replay respects the rights agreed, and collect viewer comments and attendance information for your report. Note what worked so the next stream starts from a stronger brief. Get Out! Events and GO Labs can help scope these steps for future events.
