The live segment is where planning pays off. A calm operator, a rehearsed emcee and pre-agreed rules mean that even an absent winner or a technical hiccup becomes a minor moment rather than a problem.
Load the approved list and run sample draws.
Check the screen output from the back of the room.
Test the device, power and any connectivity you rely on.
Walk through the prize order with the emcee and stage team.
Practise one redraw so everyone knows the steps.
Agree what happens if something fails. Depending on the setup, that might include a local copy of the list, a spare device, a static holding slide and a manual draw method. The operator should stay with the programme team through the whole segment.
When a name is drawn, the winner comes forward and is checked against the agreed identifier, such as a staff pass or check-in record. Keep verification quick and friendly, with a crew member near the stage to help.
If a winner is absent or ineligible, follow the approved rule rather than improvising on stage. The emcee announces the redraw, the operator draws again, and the original name is recorded as not claimed. Consistency matters, because guests notice when rules change halfway through.
Record each winner, prize and any redraw as the segment runs. After the event, provide the organiser with the agreed winner record and follow their instructions on keeping or deleting the entry list.
Note what worked and what slowed things down. Was the list accurate? Did any names display poorly? Were redraws handled smoothly? These notes make next year's draw easier.
