Every reliable draw starts with a controlled list. If the list is wrong, no amount of screen design will save the segment. Settle the rules first, then build the list to match them.
Entries might come from the registration list, an attendance check on the night, a campaign submission or an HR staff list. Decide which source is authoritative and who supplies it. Avoid merging several spreadsheets at the last minute.

The organiser should approve these rules and the final list before the draw. This turns tricky judgement calls into simple steps.
Names, staff numbers and registration IDs need to be consistent before import. Check for duplicates, missing fields and inconsistent spellings. Keep a copy of the approved source version so you can show what was used if questions arise.
Only display what the audience needs to recognise a winner. A name and department is usually enough. Avoid showing full phone numbers, email addresses or identity numbers on the big screen, and handle the list according to your organisation's privacy requirements.
If attendance is required, connect the draw list to the check-in record. Only people who have checked in should be eligible. Decide what happens to late arrivals and agree a cut-off time for entry.
Draws open to the public, such as at roadshows or brand activations, may have additional conditions from the venue or regulatory requirements. Check current rules with the venue and the relevant authority before announcing.
