Good preparation protects the people you are serving and makes the day more rewarding for employees. Most problems on volunteering days come from people arriving without context.
Share who the partner is, who they serve and why your company chose them.
Explain dress code, footwear and anything participants should not bring.
Collect any health or accessibility needs so roles can be adjusted.
Confirm photography rules with the partner and share them with staff.
Nobody wants to stand around. Agree team leads, station roles and a point of contact for the partner. Mix departments and seniority so the day also builds connections across the company.
Follow the partner's briefing exactly, even if it seems cautious.
Treat beneficiaries as hosts, not as an audience.
Keep phones away during person-to-person sessions unless photos have been approved.
Escalate concerns to your team lead or the partner contact, not on social media.
Allow four to six weeks at minimum for coordination, and more around November to January when many partners are busiest. Larger groups need longer.
If you want a facilitator to run the briefing, roles and debrief, Get Out! Events describes that process on its CSR team building Singapore page.
