Collaborate with Gemini in Gmail and Google Drive
In Gmail, you can ask Gemini to:
Summarize an email thread.
Suggest responses to an email thread.
Find information from previous emails.
Find information from your Google Drive files.
Important: This feature is currently available on desktop.
Tip: When an email thread is open, the Gemini in Gmail side panel suggests prompts based on the conversation.
On your computer, open Gmail.
At the top right, click Ask Gemini ✦.
At the bottom of the panel, you can:
Select a suggested prompt when an email thread is open.
Write your own prompt.
From the generated text, you can:
Show more of the response: Click View more ▪️▪️▪️.
Show less of the response: Click View less ━.
Check sources for responses: If available, click Sources.
Refine the generated text: Write a new prompt.
To close the panel, click Close ⛌.
Tips:
To show all suggested prompts, at the bottom of the side panel, click Show all .
To minimize the list of suggested prompts, at the bottom of the side panel, click Show less .
Gemini can summarize an email thread with more than 2 replies.
If the side panel is open, Gemini summarizes the email thread when you click What’s this email about?
If the side panel is closed, at the top of an email thread, click Summarize this email.
In the side panel, you can also prompt to ask for a summary.
Examples:
“Summarize this email.”
“Create a list of action items for me based on this email.”
“Explain this email to me like I’m 5 years old.”
Gemini can draft a new email or a reply.
To get suggested replies:
On your computer, open an email thread.
Click Ask Gemini ✦.
At the bottom of the side panel, click Can you suggest a reply?
To draft a new email, ask Gemini to create the draft.
Examples:
“Write an announcement email for the launch of Project Clover.”
“Create a thank you note to a colleague for their work on Project Clover.”
Gemini can get information on reservations, flights, packages, and other emails sent to your inbox. For example:
“When is my package arriving?”
“What time is my next flight?”
Gemini can reference files and documents from Google Drive. For example:
“What are the main points of the weekly team meeting notes from my documents?”
“Summarize my document for Project Clover.”
Tip: To check files that Gemini used in its response, click Sources.
To remove all AI generated text that you haven’t imported to the email, clear your Gemini history.
You can clear the conversation history in the side panel.
On your computer, at the top right of the Gemini side panel, click Clear history ↺.
In the pop-up window, click Clear.
You can lose your conversation history if you:
Navigate from one email conversation to another.
Reload your browser.
Close and reopen Gmail.
In Google Drive, you can ask Gemini to help you:
Summarize a long document so you can quickly get the main points.
Discuss a topic that requires synthesizing information from one or more files in your Drive.
Retrieve quick facts about a project / topic without needing to find and read the relevant documents.
Suggest relevant topics to explore so you can learn more about the subject.
Important: This feature is currently available on desktop.
On your computer, go to drive.google.com.
At the top right, click Ask Gemini.
To make the side panel bigger, click Expand.
To go back to its original size, click Collapse.
At the bottom of the panel, you can select from suggested prompts or write your own.
After receiving a response:
To show all of the suggested content, click View more .
To show less, click View less .
To generate a new summary about the file, click Retry .
To refine the generated text, write a new prompt.
To view which files and documents were used to generate the response, click Sources.
To close the panel, click Close.
On your computer, go to drive.google.com.
At the top right, click Ask Gemini .
In the side panel, select a prompt or create your own, mentioning the title of the document in your prompt.
Example: "Summarize the key points in 'Sales Team Meeting Notes.'"
Press Enter.
Gemini will display the summary of your file/document.
After receiving a response:
Show the whole summary of the suggested content: Click View more .
View which files and documents were used to generate the response: Click Sources.
Generate new text: Click Retry .
You can also ask Gemini questions to understand your document better. Examples of prompts:
“When is our contract with Vendor A expiring?"
“Summarize this file for me in bullet points"
"How many customer sign-ups did we get for this test application?"
"Who wrote the Project B design doc?"
On your computer, go to drive.google.com.
At the top right, click Ask Gemini .
In the side panel, create your own prompt, by selecting the title of the document “@title of the document” in your prompt.
Example: "Summarize the key points in '@Sales Team Meeting Notes.'"
Press Enter.
Gemini will display the summary of your file/document.
After receiving a response:
Show the whole summary of the suggested content: Click View more .
View which files and documents were used to generate the response: Click Sources.
Generate new text: Click Retry .
On your computer, go to drive.google.com.
At the top right, click Ask Gemini.
In the side panel, select a prompt or create your own. (examples: Help me understand our team's 2024 strategy, Summarize project X)
Press Enter.
Gemini will get the information elaborating on a topic based on your Google Drive files.
You can:
Send feedback about the suggested text: Click Good suggestion or Bad suggestion.
See a different version: Click Retry.
View which files and documents were used to generate the response: Click Sources.
You can clear your conversation history on the side panel at any time. To clear the conversation history:
At the top right of the Gemini in Drive side panel, click Clear history .
In the pop-up window, click Clear.
You’ll also lose your conversation history:
If you refresh your browser.
If you close and reopen the document.
If your computer goes offline.
