Overview:
After completing a site survey, the next step is to upload the photos and checklist to our shared company folder, please note that while on-site you will use SiteCapture to upload all ground-based data (Side of House, Electrical, and Structural) live (unless you face connectivity issues).
Once uploaded to SiteCapture, the next step is to upload your drone and flight-based photos to our shared company folder on Dropbox. Our clients have very tight timelines, so we must get the data uploaded as soon as possible. Once you upload the data, the engineers begin working on it right away and the data is sent to the Client for their review as well.
In the worst case, please upload the photos by the end of the day at the latest if you had multiple surveys in one day.
SiteCapture is a mobile application that allows users to easily capture job site images and data on a mobile device. Images and data are automatically cataloged and stored by job, address (GPS), date/time, and user for storage and accessibility through a customized portal.
For our purposes, you will be uploading any and all data usually captured via your smartphone (ground-based data) using the app live and on-site. You will also be able to simply type your notes in and add a quick photo of your roof maps and/or floor plans.
Download the App from the Google Store or App Store.
Login to your account via the invite sent to your Exactus email account.
Choose the appropriate address that has been assigned to you (you should also receive an email notification for each survey assigned) and begin working through the checklist. Please follow the prompts accordingly.

To upload data live and on-site be sure to go into the app's Sync Status settings and switch the ‘Sync on Wifi only’ to ‘OFF’. This will allow you to upload your data while on-site. It is expected that all data from SiteCapture will be uploaded on the same day of the survey. Please open the app at home or where you have a stable Internet connection at the end of the day to be sure all data has been synced.
When you have collected all data and written in or uploaded your notes please sign the app and switch the status to “Survey Complete” to trigger the SiteCapture to Dropbox transfer. Dropbox will be used to back up your data. Be sure all of the orange required fields have been completed before changing the status.
Important Reminder: At the end of your day, when you return to homebase, it is important you open the SiteCapture app to ensure that all survey data collected over the day has been synced properly. If a survey is not being synced, please contact the Site Support Team.
Once you're on-site:
Update Status to In-Progress before starting survey (on-site), and;
Update status to Survey Complete (before leaving site)
Do I still need to update my availability on Google Calendar?
Yes, you will still need to update your availability, check your email and Google Calendar for any booked surveys, and accept each event via Gcal. You should also cross-reference the Gcal Event Descriptions with the Scheduling Notes, Project Information, and Notes to Subcontractor in SiteCapture to ensure that you understand the requirements of the survey.
What Information do I need to collect?
This depends on the scope of your survey. Both HYBP and In-Depth templates will be created based on the scope listed on your Gcal event invite. Further, if it is ‘Internal Only’ then only the sections relating to that scope should be included in the survey template. The same goes for ‘External Only’ surveys. If you notice the Gcal scope is different from the scope provided in your SiteCapture template contact the Site Support Team immediately.
What do I do if I don’t see my Survey on the SiteCapture App?
When you are assigned a survey, you will receive a separate email from SiteCapture informing you. If you have not received an email, you should always check your SiteCapture app to verify all surveys have been added at least a day before. If it has not been added or assigned to you contact the Site Support Team immediately and we will create the Survey and Assign it for you in SiteCapture.
Where do I upload my Drone Data?
All drone photos and data will be uploaded to the appropriate folder in Dropbox. Folders will be created in Dropbox for each survey. Please place your drone data into the ‘roof photos’ folder. The next section of this course will explain this in detail.
I am receiving a message stating “You must complete all required fields before changing status to Survey Complete”.
Required fields are highlighted in Orange and all of that data is required before you can complete the survey. If you receive this message look for any field still highlighted orange and upload the data. If you feel you have all of the data required, please call the support line and if we see you have a reasonable reason for not collecting said data we can update the status to Survey Complete for you.
My data is not syncing or it is showing a syncing error.
Never sign out of your SiteCapture app. You can try restarting your phone. If that does not work, try to be sure you have a stable connection. If your connection is stable and it still isn't syncing, please call the support line. If syncing cannot be fixed, be sure to capture the data on your phone's SD or internal memory and upload the photos at a later time while trying a different network/connection.
Note: If you cannot collect data, say due to an obstruction or you are barred access to it for whatever reason, feel free to take a contextual photo and/or leave a comment and make a note of it in your notes. But remember, whenever you are missing any data, you must report it to the Support Line anyway.

We also suggest you download the Dropbox app and log in on your phone for easy access on the go:
Unfortunately, for the time being, uploading through the Windows desktop client has created uploading issues and corrupted data. Please upload directly from the web if you are going to be using a PC.
Inside Dropbox, a folder is automatically created for each job, which is titled with the address for that house. Inside each address folder, you will find these subfolders:
Roof Photos - Photos only from the drone flight with no further subfolders created (it is extremely important that your drone flight photos get dropped into this folder because we have a program that extracts them and creates a 3D model of the home)
If there is an issue with SiteCapture, additional folders will be created to house the following:
Side House Photos - Photos of the exterior of the home showing the utility meter and surrounds (including trees and/or shade casting objects/structures)
Electrical Photos- Photos of the breaker panel and any subpanels including exterior panels
Truss Photos - Photos showing inside the attic
Notes - Photos of the completed site survey checklist
Please organize the uploaded photos into their proper folders before the end of each day on-site. Our design teams begin to process the photos overnight to adhere to tight lead times. Thank you!
SD Card Reader to Phone
Note: This will require significant cell data to complete the upload. We only recommend this method if you have unlimited data coverage already. If you order an SD card reader, make sure that it is compatible with your phone.
Google Pixel phones can be problematic unless you buy an SD reader that is compatible. Be sure to read the product description!
USB connection from drone to computer
Not Recommended:
Do not send the photos from your drone to your phone using a Bluetooth connection. This will strip the GPS data from the photos and render them useless for the 3D modeling and design process. If you would like to upload on the go, the best method is to transfer photos directly from the SD card.
By default, the drone usually captures in JPEG image format. However if you have changed this setting to capture in RAW / DNG files, please change it to JPEG.
Recent models of the iPhone will capture photos in HEIC format, which is not compatible with PC computers. If you have an iPhone, please follow the instructions here to ensure it takes JPEG photos:
All photos and notes should be uploaded within the same day as the site visit.
Timely uploads are critical to meeting the project turnaround time for our clients. The moment your photos are uploaded, we have a computer program that takes the photos and sends them to the design team. The team will receive a notification that the uploads are complete and begin working on the design right away. We have a 24-hour design team, so even if site photos are uploaded end of the day, we will have someone working on the design overnight.
If the photos and notes are not uploaded by the end of the day, it will push back the design completion by at least 12 hours and cause the project to be overdue. If data is not uploaded within 24 hours you will be at risk of the survey being deemed incomplete and therefore it will only be payable at a $50 rate.
Data must be retained for at least 60 days in the case we or our client require it, or in the case, there are problems with Dropbox. Please ensure you store your data safely on a device of your choosing.
HOVER transforms smartphone photos of any property into a fully measured 3D model. Get detailed, accurate exterior measurements to the inch for the roof and all elevations from as few as 8 smartphone photos.
For our purposes, you will be using HOVER for any instance where you’re unable to fly, whether it’s a No-Fly Zone, a Temporary Flight Restriction, or due to the weather (rain, high winds, etc.).
To use HOVER, please follow these steps:
Download the App from the Google Store or App Store.
Login to your account via the email sent to your Exactus email account.
Once you have logged in, tap the “+” sign located in the bottom center.
Once you have clicked on the “+” sign, fill in the following fields:
Property Name
Property Address
Property Type (Single-Family, Multi-Family, etc.)
Select Measurement Type - make sure to always select “Build Roof-Only 3D”
After the above steps are complete, click on “Add Photos”.
Then, start capturing the 8 photos of each facing corner as requested by the app.
We highly recommend taking the photos in landscape mode.
Ensure to get the full face/side of the house in each photo, from left to right and top to bottom even if you have to step further back.
Corner shots are key. A good corner shot includes 2 full faces of the property and both ends of the property.
Try to avoid sun glare and obstructions such as trees, swimming pools, cars, or any other big object.
If there’s a detached garage or another structure that will have panels on, ensure capture it as a separate property (refer back to point 4)
Once done, click on “Finish”, then wait for the project to be uploaded. Once you see a project as “Waiting for Approval” it means it’s complete and ready for review by our Design and Engineering Team.
