For what purposes will personal data be processed in the IES waiting list and admission system?

IES processes personal data concerning you as guardian and your child in our queue and admission system. The personal data processed in this system is your names, address, e-mail address, telephone number and personal ID numbers. This personal data is only processed for the purpose of managing the IES student queue and for the purpose of admitting students to our schools.

What is the legal basis for the processing of personal data in the IES queue and admission system?

The legal basis for the processing of personal data in respect of queue management is your consent as a guardian. This means that IES will only process personal data in the queue system if you as the guardian have consented to this.

With regard to admission to a school, the legal basis is that there is a public interest in IES admitting students to their schools. The Swedish Education Act (2010:800) sets forth the conditions for independent schools’ admission of students.

How long will personal data be stored in the queue and admission system?

Your and your child’s personal data will be stored in our queue system until your child is admitted to one of our schools, they become too old to attend our schools, or you as a family refuse the offer of a place. If you as a guardian withdraw your consent to the processing of personal data about you and your child in our queue system or otherwise request that your child be removed from the waiting list, your personal data will be deleted from our waiting list system within six months.

You may at any time withdraw your consent to the processing of your and your child’s personal data in our queue system. IES will remove your child from the waiting list only with the consent of both of the child’s guardians. While data about one of these guardians can always be removed from the system if requested by this guardian, the child will remain in the queue if this corresponds to the wishes of the other guardian.

Who will access personal data about me and my child in IES’s queue and admission system?

Queue administrators and principals at the school who need access to personal data in the waiting list system at their school have access to this system. This means that these individuals can access personal data about you and your child that you provided when you put your child in the queue. A small number of system administrators at the head office of IES and a small number of system administrators at Schoolsoft have access to personal data in the queue for all IES schools.

What are the data subjects’ rights under the General Data Protection Regulation (GDPR)?

As a data subject registered in IES  queue and admission system, you have the right to contact IES, in its capacity as controller, to gain access to your data, request that your data be corrected, deleted and transferred or that the processing of your be data limited, and to object to the processing. Your consent to put your child in the queue may be withdrawn at any time. You can read more about your rights on the website of the Swedish Authority for Privacy Protection (IMY): link.
