All faculty are assigned two email addresses:
Formal faculty email, which is first initial, last name xxxxxxx@reynolds.edu
“Student” Gmail email which is your MyReynolds username xxxxxxx@email.vccs.edu.
Use your formal faculty email (@reynolds.edu) at all times, not your “student” email
Please read your email at least every other day during the work week. To access email (on campus and off) use the Reynolds Intranet site or Outlook Web App.
AFTER setting up your Outlook email account, go to the Reynolds Intranet site
Click on the “Office 365” icon (see overview above)

As a new employee, one of the first emails you will receive will be concerning security awareness. Please review this email to access and complete Security Awareness Education modules ASAP. All Reynolds (VCCS) employees are required to complete these modules yearly. Employees will receive a reminder from sender saehelp@vccs.edu for yearly renewal when training is due.
Upon completion of all modules and quizzes, Shared Services Security Help Desk (saehelp@vccs.edu) will email completion notification.
Additional Details about Security Awareness Training:
Users will receive email notification at the beginning of the month training is due, and periodic reminders, until training is completed. These VCCS notices will come from saehelp@vccs.edu. These notices are legitimate. Do not ignore them. Users are given 30 days to complete training, along with an additional Reynolds’ grace period of 7 days. Failure to complete training within this time period will result in suspension of both Reynolds and VCCS enterprise accounts. The delinquent user will not have access to college email and will be unable to access college network resources or VCCS enterprise applications (such as Canvas, SIS, or HRMS). The accounts will not be reactivated until the employee completes GLS Security Awareness Education. After completing training, without access to college email, please notify Reynolds Help Desk during normal business hours by calling 804-523-5555.
In accordance with Reynolds Policy 3-7, Sexual Misconduct, all Reynolds’ employees are required to complete sexual harassment training once a year.
You may participate in face-to-face (F2F) workshops, offered periodically throughout each semester. Faculty and staff are encouraged to take their first training at Reynolds in the “classroom” format.
Another option is to complete an online training session via the online module for the Prevention of Sexual Harassment available in the Virginia Learning Center (VLC). The online version can then be used to meet the annual training after first completing the F2F workshop.

After creating your login ID and password, access the online version of the Prevention of Sexual Harassment module per the instructions below.
Log into the VLC by going to the Commonwealth of Virginia Learning Center (COVLC) login page.
After logging in, enter harassment online in the search field and click SEARCH
A list of courses will appear; click on the course title: JSRCC, Prevention of Sexual Harassment Online
Click Open Item when the course opens
The course will launch in a new window within 15 seconds. If the course does not automatically launch, click the course title.
NOTE: Please make sure that your speakers are “on” so that you can hear the audio. The VLC system runs a little slowly during peak usage, so please exercise patience. The Online module should take approximately 25-30 minutes to complete.

The Road to Cultural Competence is a required training for all state employees. Emails may be coming to you from different sources advising you to take this training. Please remember that you only need to take the training once and you will find it in the Commonwealth of Virginia Learning Center (VLC).
HR does not need a copy of your certificate, because your participation will be reflected on your training transcript in the VLC. You may complete the module per the following:
Log into the Reynolds Virginia Learning Center (VLC)
Enter ‘Competence’ in the search field, and click SEARCH
A list of courses will appear, click the course title, DHRM-The Road to Cultural Competence
Click OPEN ITEM when the course appears.

SharePoint is a repository for documents. You may access SharePoint after you set up your Outlook email account. Faculty are expected to submit documents at the beginning and end of each session to the School of Humanities and Social Sciences site. The SharePoint Home page for session submissions is here. You'll find a high-level list of semesters to choose from across the top of the linked page.
Beginning-of-Session Submissions
By the end of the first week of each session (15 week, 7 week, 5 week), faculty must upload the following documents via the appropriate links in SharePoint:
Syllabus and schedule
Office Hours/location and contact information
Part-time faculty: one office hour per course
Full-time faculty: two office hours per course
End-of-Session Submissions
In SharePoint and prior to the last day of the Session (i.e. prior to when grades are due), faculty must upload the following via the appropriate links in SharePoint:
Final Exam activity (i.e. copy of exam; or assignment sheets/guidelines for final projects, presentations, or portfolios.)
Attendance roster (an attendance spreadsheet or document for each session will be available in the semester SharePoint site)
MyReynolds is the portal that provides access to a number of platforms in use by faculty. The platforms highlighted in this page and below include Canvas, SIS, Navigate, and Gmail (student email).
AFTER setting up your Outlook Web App account, you may access MyReynolds two ways:
Directly on the MyReynolds login page
On the college Intranet site (click on the “MyReynolds” icon)
Call 804.523.5555 and tell them you are a new part-time or full-time faculty member setting up your MyReynolds account; they’ll ask you some questions to verify your identity and then give you the necessary clearance so that you can set up some security questions and then they’ll assign you a temporary password.
Note: In the event MyReynolds goes down, an alternate method to access Canvas is by going to learn.vccs.edu.
All courses are automatically assigned a Canvas shell. Faculty must upload the course syllabus, schedule, and contact information in Canvas for each course. Additionally, instructors should also use and update Canvas’ gradebook regularly. Canvas is a valuable platform for disseminating information and instructional materials (and it reduces paper costs), so we hope you will use it extensively regardless of delivery method (face-to-face, hybrid, live online, online asynchronous).

SIS contains course schedules, class rosters, grade rosters, course offerings and much more. The majority of faculty SIS business will be conducted in the Faculty Center.
SIS may be accessed after logging into MyReynolds.
Because our campus Intranet site (intranet.reynolds.edu) provides links to virtually everything you need, it is a good practice to use it consistently. See the Intranet overview section at the top of this page for specific links/images to Intranet pages.
Class Schedules and Rosters
Class schedules are generally available to faculty the prior semester. Class rosters are available as soon as students begin registering and populating sections.
Reporting Grades
End-of-semester grades are due in SIS by noon on the date established on the published college calendar
Review the Academic Calendar to assist with planning your semester. In the drop down menu, select the appropriate semester to identify the due date.
Navigate Staff is an automated reporting system to increase student success and retention. You may access Navigate Staff after logging into MyReynolds.
You will receive emails twice a semester with information on when to report student progress. Please complete Navigate reports by the deadlines established in email reminders.

Through MyReynolds, you have access to a Reynolds Google account with all of the features you might expect:
Gmail. Your email address associated with your Reynolds Google account ends in @email.vccs.edu.
Google Drive (docs, sheets, slides, forms, sites, etc.)

Important: Use your Reynolds.edu email for all communication with students and the wider college community. Be mindful that Canvas communication will always go to your Reynolds.edu account.

Related to Navigate Early Alerts, is Attendance Certification. Faculty are required to certify attendance twice a semester (at the 15% and 60% points) for each class taught. Be on the lookout for email reminders from the college registrar and report on time. Certification dates differ for each session (15, 7, 5 week).
Attendance certification dates are published prior to the start of every semester and can be accessed via the Reynolds Intranet site under Teaching Resources and then select Attendance Certification.
Forms for certifying attendance are available in the above link. To report 15% attendance certification, click on Never-Attended Students. To report 60% attendance certification, click on Unofficially-Withdrawn Students. After clicking on the appropriate link, select the term, enter 5-digit class number for the course being reported, and click OK.
5-digit class number: Go to your current class schedule in SIS. The 5-digit number is located in parentheses under each course assigned.
Please be sure to ask questions about which students to report if you are at all unsure.
Reynolds Community College assigns two user IDs to all faculty:
Reynolds Network Account Access: Intranet, campus email, campus computer login, SharePoint
Username: srxxxxx (sr + first four letters of last name and initial of first name)
Password: temporary password assigned when employed and will have the opportunity to change it later.
MyReynolds Access: Canvas, Student Information System (SIS), Gmail, Zoom, Navigate.
Call the Faculty Help Desk at 804.523.5555 to get your MyReynolds username and temporary password.
The password expires after twenty-four hours.
Access MyReynolds with your username and temporary password to reset your password and set up security questions.
Passwords: you will generally have to maintain two. One for the Reynolds Intranet and one for MyReynolds. You may use the same password for both, but do be aware that usernames are different. Passwords expire every 90 days. The system will prompt you to change your password when logging into MyReynolds.
