Zoom Guidelines

To ensure the safety and security of all of our teachers and students there are some guidelines to follow when engaging on the Zoom platform.

The recommendations of the department for setting up a video conferencing classroom are:

  • The video conference room is a classroom and the same school behaviour and discipline policies apply to this environment.

  • Unauthorised access to the video conference room will not be allowed , this includes parents, unless they have been authorised to attend by the teacher prior to the class. An example of this may be a Kindy class with reading and the parent/carer who may usually come into the class to support reading time.

  • Similar to the classroom, all invited guest adult speakers will have a Working With Children Check (WWCC) before being admitted into an online room.

  • The teacher will be the only person to host a meeting and will manage the entry of a student participant into the meeting, the teacher may remove participants if needed.

  • Teachers will enter the room before the start time so students are not in the online room without a teacher who is the host or co-host for the prescribed lesson.

  • Only whole class or group sessions are allowed. Teachers will not conduct a 1:1 lesson or well-being focused meeting with a student. In the rare event that this may need to occur, the teacher will ensure that there is a student nominated parent/carer present and another teacher.

  • Student camera rights will be turned off for students unless they need to demonstrate their learning to the class. In Zoom individual camera access can be enabled and disabled as required by the teacher.

  • In-meeting chat will be closely monitored and managed by the classroom teacher hosting the conference.

  • Zoom has the ability to customise backgrounds i.e. load a static picture or blur the background. This will be used by teachers at all times to protect the privacy of teacher and student video conferencing environments.

  • Video conferencing sessions are highly secure and will not be recorded, they will not run for any longer than 20 minutes at a time.

How to sign into Zoom

Are you using an iPad or PC?

Please follow the steps below to sign into Zoom using a student account. There are different steps for logging into a desktop browser on a computer to when using an ipad or tablet.

What are my student's department credentials?

When prompted to log in with your department credentials these will be the log in details that your child uses to log into the computers at school. This will be your child's firstname.surname (it may be followed by a number). If your child is unsure of their User ID and password please contact the class teacher.

How do I find the details for my child's upcoming Zoom meeting?

Your classroom teacher will post the details of the zoom meeting on Seesaw as an activity. This post will include a link to the meeting as well as a Meeting ID and password.

How do I join the Zoom meeting?

Step 1. Sign into your zoom account using your school login details.

Step 2. Click on the link in your Seesaw activity feed

Step 3. Wait for your teacher to give you access to the meeting.

Note - If the link does not work, go into your zoom account and click on 'join meeting' then enter the Meeting ID and password as prompted. The Meeting ID and password can be found in the post in your child's seesaw activity feed.

I am being asked for the SSO details?

When setting up your Zoom account you may be asked for the SSO details. The details you need to enter are nsweducation .

How do I change my Zoom background?

We recommend changing the background on your child's Zoom meeting screen. To do this:

Step 1. Join or create a new meeting

Step 2. Once in the meeting, look to the bottom left corner and see an option to "Stop Video." Don’t click it! To the right is an upward arrow, "^," click the arrow

Step 3. When clicking the arrow, you will see an option to "Choose virtual background," click that option

Step 4. That will take you to a new window in "Settings" where you can choose from a default background or upload your own

Step 5. To upload your own, click the "+" on the right of the video screen in the "Settings" window. This will give you the option to upload your own background into Zoom

Step 6. Select your image and click Open

Make sure you are signed into the correct Zoom account

If you are having trouble connecting to a zoom meeting please make sure you are signed into the Zoom App using your school email account. If using a shared device you may find that you have been automatically signed into another family members account. This video will provide further explanation about how to ensure you are signed in to the correct account.
