END OF YEAR REMINDERS - IEP’s & SPED Transportation
-ALL IEPs must be completed, locked, with no corrections by 4:10PM on June 24th.
-Initial and Transfer IEPs are due within 30 CALENDAR days of the Evaluation (not school days)
-CASE MANAGERS: All students utilizing SPED transportation need an up-to-date Transportation page (Under Demographics Tab) (see sample image in email)
Progress Reports:
Because teachers do not print and send reports home with students (second semester report cards are delivered to families’ online Skyward account only), June Progress Reports will be sent via IEPOL Connect (unless the parent/guardian does not have an email address and phone number).
All IEP Case Managers (AECC, DK, IS, and ISES/ILS teachers and Itinerant Case Managers) send Progress Reports via IEPOL Connect no later than 5:00pm on the last day of school (June 24, 2022).

Families who would like to receive a printed copy of the report card/progress reports in addition to the digital copy, will indicate this in Skyward. The printed Progress Report needs to be printed and sent by US Mail or home with the student.

General Education Teachers, and Self-Contained Special Education Teachers (DK, IS, ISES) and Specialists complete grades in Skyward no later than 5:00pm on the last day of school.
Progress notes need to:
Reflect progress monitoring throughout the previous semester. Include quantitative data in your notes.
Be written no earlier than two weeks or 10 school days before the due date.
Be completed even if IEP or reevaluation recently done.
Report on previous goal and the new goal if a new IEP is completed (written last 30 days before progress due date)
Example: (date) Current IEP goal progress data was discussed at the most recent IEP on (date). Baseline for current goals reflect that progress.
Recovery Services:
Your families are receiving information on the offer of Recovery. The team has worked to make sure that each student has access to service through Summer School, additional days if they are attending ESY, and/or a tutoring option.
If families have concerns of the offer, the family can request an IEP in the fall. Please consult with a Program Manager or Director for support in those requests.

PK- K: West has been working with DK teachers for their scheduled developmental preschool to developmental Kindergarten (DPK to DK) transition planning meetings. In addition, several other initiatives w
For students transitioning from PK into Kinder, all students were considered for additional observation and data collection by a transdisciplinary team, including special and general education Kindergarten teachers, a school psychologist and early learning administration. This DPK-K Observation team was piloted this year in order to provide IEP teams with additional perspectives and data points to use in making recommendations for placement and service models for incoming preschoolers with IEPS (i.e. DK or general education). Observers submitted their questions and wondering teachers in consideration of a student's ability to meaningfully engage in the learning process in a model with a "just right" amount of support, or least restrictive environment (LRE).
Developmental Preschool teachers and Edmonds Early Learning Fellows are currently contributing to a plan that would make Kindergarteners' former preschool teachers available during the first week of the 2022-2023 school year between the beginning of school for 1st Graders and older, and the beginning of Kindergarten. During this window, preschool teachers will connect with general education teachers to discuss and support students, including troubleshooting how to provided accommodations and modifications as they are written in the IEP in
Dk-1st, 6th - 7th & 8th - 9th:
We were unable to secure a single day for transition connection meetings. However, we know that there is a request/need for teams to meet. We can offer Special Education Sending/Receiving Case Managers timesheet 1.5 hours to meet with each school team that feeds into the receiving school.
Guidelines for the meetings:
Sending Team:
Share the number of students and time frame with priorities
Monitor time
Prioritize students with time allotted, as you may not have time to discuss each individual student.
Students with complex issues/high needs should be prioritized.
Assign a presenter for each student, if possible
Focus the conversations
Share programming/planning needs
Point out extra accommodations/modification (1:1, specialized transportation, helpful tools for success, etc.)
Avoid personalized/emotional narratives and conversations around changes to placement/IEP
Provide the name of your contact person for new referrals, transfers, observations, IEP meetings and any unfinished transition information
As a reminder you will have additional opportunities to discuss students if/when invited to end-of-year IEPs.

Edmonds College is hosting 3 Pursuit (Pre-ETS) Classes & beginning to launch internships in the coming Spring (Apr-June) & Summer quarter.
STEP 1: Take a Pursuit Class: weekly Monday-Thursday (10 weeks) to cover topics of strengths discovery, Self-advocacy, Resume-building experiences, Peer Mentoring as well as gaining Workplace Readiness Skills. To get pre-approved Please Pre-REGISTER here bit.ly/pursuit-program to reserve and start your eligibility process. This helps us know you can make the time commitment. You will choose between these times starting on April 11th- June 16th. - Each class time below will be covering the same topics mentioned above.

We are rolling students up based on geographic feeder pattern schools and self-contained placement. The chart below shows our feeder patterns. We want to make sure that students have access to their neighborhood school first!
There are some exceptions to geographic feeder patterns. These are indicated with an asterisk on the chart. If you have any questions about what the exceptions mean please contact your manager to clarify.
To complete our Fall Placements:

The school district is required to contact the family to schedule a conference at a mutually agreeable, reasonable time to identify the barriers and supports available to the family and their student. If a student has an Individualized Education Plan or a 504 Plan the team that created the plan needs to reconvene. If you need help strategizing with families on improving attendance please reach out to your building principal and if needed your program manager. If you meet to discuss attendance concerns, please follow up with a Prior Written Notice.

Progress Notes:
Please have them completed in IEPOL no later than February 4th, 2022.
Progress Notes need to be delivered in agreed upon way to parent/guardian. If a family has asked for mail, we print and mail, email-send via email, IEPOLConnect-send.
Case managers are expected to send progress reports to their respective families. This is done in the agreed upon way you send other IEP/IEP related documents. This can be done electronically or via postal mail. Case managers are responsible for printing (if mailing) the progress reports. The “agreed upon” way of sending is the manner in which you typically communicate - not an explicit conversion that was expected at a previous meeting.
1) If there's a new or change to transportation for a student, it must be supported by Special Transportation being indicated on the IEP.
2) The case manager or requestor will fill out the transportation tab under Demographics on IEPOL.
a) The following information must be filled out on the transportation tab:
school year
Requested start date for transportation
Pick up and drop off address
Equipment needs on the bus (ie car seat, safety vest) or if para/nurse is needed, and any pertinent student info.
If para/nurse is needed on the bus for a student, teachers need to provide their name and phone number
whether parent/guardian/designee needs to be present at the drop off
3) The case manager or requestor will contact Katie Newbaum with the request.
4) Katie makes sure that the IEP and Special Transportation notes are in Skyward (Transportation's software only talks to Skyward) then puts in the request to Transportation.
5) Transportation has 5 SCHOOL DAYS to complete the request (per bargaining agreement.) It is important to prepare the family for this delay.
6) Transportation contacts families directly to confirm and inform of route and bus number.

Building Administrators Received the following Message about Elementary Resource Groups late last week:
Please make sure that you continue running Special Education groups for their fully scheduled minutes. We are obligated to serve the minutes of a student's IEP. This includes groups in Resource Programming. These group sessions can be longer than 15 minutes. Please use mitigating strategies, including physical distancing, masking, or schedule shifts to meet the minutes of the student’s IEP.
If you are struggling to provide mitigating strategies, please work with your Program Manager to problem solve the individual situation.

*If you are quarantined and your classroom/students are in person* Special Education teachers can have the option to work 3 hours and 40 minutes, remotely, if a Special Education Teacher has a sub due to quarantine, are able to work and have IEP meetings. Please have them subtract this the time this on their leave or note it on the HR 100 if submitted.
*The decision to work is the employees and how they feel. We want to ensure that we continue to conduct and complete our Special Education paperwork in the most timely manner, if at all possible.
*If a Special Education Teacher believes they have more than 3 hours and 40 minutes of work, please work with your Program Manager for Teaching Programs to determine a course of action.
If a Special Education Teacher has a sub due to quarantine, is unable to work and has an IEP meeting please have them reschedule with the family.
Elementary Classroom Moving to Remote
When there is a classroom that moves to remote, we will be reaching out to Special Educators (cc' Building Admin) to provide resources for their next steps into remote. Just a note, there are some situations where a staff member will be supporting students in person and remotely. This does not have to be done at the same time, but may require some schedule changes throughout the day.
For Resource Teachers: Please work with them to ensure they have time to prepare for the students moving to remote, they will likely still have students in person so each case will be unique. If you need support in problem solving this, please reach out to Liz Spier, Karly Kline, or Hayley Etnier.

Secondary Grading/Report Card Information:
As we approach the end of the grading period, we wanted to remind you that we are now returning to pre-covid grading practices. This means that,
NC - No Credit grades are no longer being used. Students who receive a non-passing grade should receive an F.
I - Incomplete grades should only be used if you are giving the student some extra time to complete work and will be going back to change the grade once the work is completed.
Pre-covid guidelines apply for students with grade adjustment accommodations on their IEP.
1st Semester grades from the 2021-2022 school year will be used to backfill 2nd Semester grades from the 2020-2021 school year. This backfill practice will be discontinued after this semester.
Elementary Grading: Below is the first semester grading and report card information which also includes important dates. This EEA/ESD co-created document was also shared in October and there are no changes from what was shared then. Please disregard this if you already have this information on your calendar.

Special Education Manager: We wanted to reach out to share with you all some exciting news for Melissa. She recently accepted a position as the Executive Director of Special Education for the Stanwood Camano School District. We want to thank her for the work and leadership she has shared with us over the fall and winter this school year! We are working on a plan to ensure the schools she has supported move through the year seamlessly. Melissa will continue to support the South Side Schools until her departure. We will be sharing out a plan as it is finalized.

Monthly Meetings with Building Special Education Teams: There are some buildings that have not yet scheduled their monthly meetings. We have and will reach out again to your Building Admin to get them calendared. We are present to support the process and needs specific to your buildings.
Optional Office Hours: weekly on Thursdays (Rotating between the Morning or Afternoon. See Special Education Calendar- Link)

BOOK STUDY starting soon: This book study for preschool, DK, and elementary IS staff will cover the new book Comprehensive Literacy for All: Teaching Students with Significant Disabilities to Read and Write. Join us on select Wednesdays (8:15am, 2:40pm, or 3:10pm) to review and discuss sections from this book and learn how to implement research based strategies for comprehensive literacy instruction (emergent and conventional) for your most significantly impacted students.

Acadience Training for Elementary Staff:
Acadience Reading K-6 is a powerful universal screening tool. The district adopted it as the Dyslexia Screener for K-2 students. Administering to K-2 students is a requirement. The special education department suggests that it be used for 3-6 students who have reading as an area of SDI.
We will be offering two trainings for Acadience; a refresher for teachers previously trained and a comprehensive training for new teachers and those who have not used Acadience previously. The refresher training is 10/6 from 3:00-4:00; primarily for Resource Program staff. The comprehensive training is 10/8 from 12:30-3:30; primarily for Intensive Support staff and new teachers.
The trainings are optional. Paraeducators can attend and use their enhancement hours if the training is outside of their contract day. We are hoping to record the sessions and offer them as an asynchronous opportunity. We are waiting to hear back from Acadience about permission to do this.

ALL Teaching Staff Recovery Services UPDATE:
We had a fantastic summer assessment team that reviewed recommendations from the spring. We have a number of students recommended for Recovery Service. We have sent out a survey to families of recommended students to gather interest in school year and summer programming options.
OSPI is requiring us to also discuss Recovery Services at the Annual IEP.
We will be sharing out with you:
Guidance for the conversation around recovery at the IEP meeting including specific situations for:
Your students who were recommended.
Your students who were recommended and parents responded to the survey.
Your students who were not recommended initially.
Guidance for Next Steps when in the conversation at the IEP.
We understand that there are IEPS that have occurred this past week and will be occurring in the coming week. We will also provide guidance on how to address those annual IEPs that have already been held with ease.
We are continuing to work hard to organize this in a way that makes the conversation easy and the process smooth to meet the needs of providing Recovery Education to our Students. We hope to have this to you all very soon!
Acadience Update: We will have more information on Acadience Training's coming soon. Please contact Doris or Connie if you are needing books ordered and be watching for training information!
Intensive Support Teachers: As a reminder, state testing from Spring 2021 continues into Fall 2021.
The Fall test window for WA-AIM is September 27-November 23.
WA-AIM students who were not assessed in the Spring are to be assessed in the Fall. Any content areas that were not completed in the Spring will have to be re-done this fall, as we were told incomplete records would not carry over.
Parent refusals (aka opt-outs) that were reported last spring are still on record, however, I want to encourage you to check again with parents to make sure that still stands, as their logic in the spring for refusing, might not be the same now.
Students will be assessed in the Fall based on their grade level from last spring. When I load students into the DRC system (and I'm not sure yet when that will be), I will be loading them at that Spring 2021 grade level. Then, once this test administration is complete, at some point they will clear the system and we will reload the students at this year's grade level for Spring 2022 testing (dates for that test window have not yet been published).
For Fall, I'm not sure yet if your 2020-21 user account in the DRC system will be what will drive this Fall test administration, or whether I will have to update your accounts for this, but I'll send out more information when I know it.
Spring WA-AIM test scores are available and sent to you by Kieran Edmundson.

Learning Management System (LMS): Please see the shared message from EEA and Edmonds School District around expectations for the LMS. There may be situations where the health department may order entire classrooms to quarantine if there is an outbreak. If that occurs, we need to be prepared to pivot from in-person to remote learning for those classrooms. In this instance, teachers will teach via Zoom, and students will access Zoom links and materials much like they did last year through a learning management system. To address this need, we are asking all teachers to have classroom learning management system pages ready to be accessed by students if and when a move to remote learning is required. The district time on Thursday will include an hour of LMS time for key reminders, updates and expectations related to your LMS setup. Templates are available and we have provided quick setup guide links below. There is not an expectation that teachers will use the LMS unless we need to make the move to remote instruction.
