Psychs:
At the end of every school year, Edmonds School District submits the Consent to Initial Evaluation Timeline Report to OSPI. In this report, the district must include students for whom consent was received, but the eligibility process will not be completed by July 1st.
When you receive consent for an initial evaluation and will not be completing the eligibility process by July 1st, complete this form with the student's name, DOB, building the student was attending when consent was received, and the date of consent. A GT record must be created for these students in IEP Online before the school year ends.

Updates from Mara Marano-Bianco (as of 3/18/22):
We are still requiring masks in areas of medium to high risk. This is also a directive from WA L&I as of Friday 3/11/22.
L&I has not issued any changes to its masking guidelines at this time. They are under revision but have not yet been released.
For folks in medium to high-risk scenarios, they are still requiring a higher level of masking.
This is what Mara sent to HR on March 11th:
Before L&I makes any major changes, they are waiting for the signature from the Secretary of Health on the order, which is expected later today (3/11). Their current guidance is to maintain those that require masks in levels medium and high tasks. Those in low risk where a cloth mask was once required can be removed. The other areas still stand, which was what we have in place (high-risk classrooms, areas with a higher risk of bodily fluids #36 of the decision tracker).
For those unvaccinated staff that has asked for accommodation- these accommodations must be higher than the general staff. At this time they are recommending no change to the accommodation rule and recommend a KN95 but it should also be based on their work tasks which may require a higher level mask.

New Guidance: Zoom Attendance Report
The Records Team will be asking for Zoom Attendance Reports in lieu of a parent signature on evaluations for compliance. Though we previously accepted zoom invites initially during COVID, we will no longer be able to accept those as proof of the parent's participation.

Boardmaker 7 software update:
An update to Boardmaker 7 Editor has been released which requires a full uninstall/reinstall. This should solve multiple issues which some folks have been experiencing since the initial launch last year.
Technology is working to add Boardmaker 7 Editor to our district Software Center, to allow users to do this independently. You will get an email from Melissa Petersen with directions once this is ready.
There are no changes to the Boardmaker Student Center at this time.
If you need additional support for the installation, or need it installed right now, put in a helpdesk ticket and a tech specialist will assist you with the installation.

New updated WAC on DD eligibility: "Students who qualify under the developmental delay eligibility category must be reevaluated before age ten and determined eligible for services under one of the other eligibility categories in order to continue receiving special education services."
SLPs:
Home AAC iPads: NOW is the time to start working to get home AAC iPads for your students who are relying on a school device for communication. Students need their own AAC device over school breaks, during the summer, or if they move to another district. Once you know that a student can use AAC at school, it's time to get them their own!
Possible funding options include:
Ablenet Quicktalker Freestyle: a funding program that works with insurance to streamline the process of getting an AAC iPad funded. They send a trial device with ALL additional equipment necessary (keyguards, switches, etc), provide templates for letters of medical necessity, and support families and school SLPs from start to finish.
Medicaid: students who are covered by Medicaid can get one speech generating device every 2 years. School SLPs work with the family and case manager to get approval for an iPad, case, and AAC app.
Ben's Fund: Autistic students can apply for a grant through Ben's Fund to pay for an AAC iPad. "We provide support to children and young adults with autism through financial assistance. From therapies to equipment, we support Washington families by easing some of the financial strain associated with autism. Ben’s Fund grants are available for up to $1,000 per qualifying child or young adult, per award year."

WEA is hosting a training Wednesday 1/19 on ESA certification maintenance requirements and Professional Growth Plans (PGPs). PGPs are an opportunity to get 25 clock hours each year for free!

Welcome to Gabbie Lanier, School Behavior Analyst, who has filled the open BCBA position starting today! Gabbie held the school behavior analyst position with Monroe School District prior to coming to Edmonds.

Presentation on Social Anxiety Disorder Identification and Treatment with Dr Jonathan Shaywitz, MD: What exactly is social anxiety disorder, why is it on the rise, and which interventions work the best? These are some of the questions Dr. Shaywitz, MD, addresses. Social anxiety disorder can masquerade as other behavioral issues, and it can become a chronic mental health condition, so identifying it correctly is important for treatment. A differential diagnosis of Social Anxiety Disorder includes panic disorder, agoraphobia, atypical depression, and body dysmorphic disorder. Dr. Shaywitz discusses various pharmacological treatment options and the potential risks of not identifying this disorder accurately. Dr. Shaywitz is a Board Certified Psychiatrist and the Medical Director at Montare Behavioral Health.

Response to Recent Flooding Events (via WSASP): Recent weather events have significantly impacted communities across Washington State including widespread flooding in Whatcom, Skagit, Snohomish, King, Chelan, and Okanogan counties, as well as on the Olympic Peninsula. Experiencing a dangerous storm, flood, or other natural disasters can be especially traumatic for children and youth, and the devastation to the familiar environment can be long-lasting and distressing. Children look to the significant adults in their lives for guidance on how to manage their reactions after the immediate threat is over. Parents, teachers, and other caregivers can help children and youth cope in the aftermath of a natural disaster by remaining calm and reassuring children that they will be alright.
There are a number of common reactions following a natural disaster; however, children’s reactions may differ according to age and developmental level.
Preschool—Regressive behaviors, decreased verbalization, increased anxiety.
Elementary—Poor attention/concentration, school avoidance, irritability, clinginess, aggression, somatic complaints, nightmares, social withdrawal.
Middle and High School—Sleeping and eating disturbances, agitation, increase in conflicts, physical complaints, delinquent behavior, and poor concentration.
Several risk factors may impact the severity of a child’s reactions. These include exposure to the actual event, personal injury or loss of a loved one, level of parental support, dislocation from their home or community, the level of physical destruction, and pre-existing risks, such as a previous traumatic experience or mental illness.
WSASP recommends the following resources to support students, families, and communities who may be impacted by the recent storms and flooding:

NASP Natural Disasters: Brief Facts and Tips: This webpage contains printable fact sheets in English and Spanish to share basic information and tips on supporting students during and after a natural disaster, as well as links to other resources.
NASP Resources to Assist Recovering From Natural Disasters: This guide provides resources for caring for caregivers, suggestions to assist schools to reopen after a disaster, and additional resources for families and educators to support children.

Teaching Programs will offer a school year and a summer option. We do not yet know when or how ISSD will offer.

Please inform the parents and teachers that if the team identifies that the student needs OT/PT/SLA recovery services, then you will be in contact with them about the opportunity for services as soon as possible.
If you have an SLI/OT/PT only meeting that will occur before the MOU is published...
If the IEP team determines/has already determined that the student does NOT need recovery services, document as indicated by the MOU/guidance for teachers.
If the IEP team has already determined they do need services or has not yet discussed it because the student is new to the district, indicate under Other Factors: "Recovery service provision will need to be discussed at a later time."
If a student has been initially qualified since last year...
Indicate "Student is newly eligible for special education services, therefore there is no need to review recovery services."

Crisis Care Clinic at Seattle Children's Hospital: Community providers and caregivers may contact the Outpatient Psychiatry Triage line at 206-987-2164, option 2, to see if there is capacity and place a referral.
This clinic is designed to help stabilize a student in crisis and set up a care plan.
It is an option for a child who is in crisis but doesn't need an ER visit. This would include talking about suicide or having previous suicide attempts.
It's not designed for individuals who are just feeling distressed or for individuals who have already received similar mental health and crisis interventions.
Students who already have psychiatric help should continue to work with their care team.
The clinic works with a family for up to 4 weeks, and their primary goals are:
Avoid a lengthy assessment in the emergency department
Avoid a hospital stay unless the child needs it
Support the family and offer education about the child's behavior
OT/PT/SLA:
Medicaid logs should be entered into EasyTrac by the 5th of each month.
Please ensure your logs are caught up by the end of this month!
PCG monitors logging activity in EasyTrac but it has been much lower than in previous years.
If you are logging recovery services, you need to include a sentence stating “This is a recovery service” in the comments/treatment notes.

Recovery Services Updates: For the next steps of Recovery Services in Special Education, Special Education Case Managers will play a key role in communicating with parents/guardians and documenting the offers of recovery services in students IEPs. There will be a detailed communication sent with details between now and 12/3 (anticipated to be out 11/29)
SLA: we will be discussing the details at our team meeting scheduled Friday 12/3/21 from 8-10AM
OT/PT: we have DVR coming Wednesday 12/1/21 SO we will cover Recovery Services at our 12/15 team meeting. Support Request Forms:
Evaluation or IEP Support Form - Evaluation or IEP case manager can submit this support form to request assistance with: Evaluation planning, eligibility decision making including SLD professional judgment, IEPOL system support (how to complete in the online system), and/or IEP development (goals, accommodations, minutes, complex student support)
School Psychologists: Please use this form to request consultation around Professional Judgment for the category of Specific Learning Disability as this will allow us to track and communicate decisions to our office assistants as they are checking records.
Social Emotional Behavioral Support Form - This form must only be submitted by the School Psychologist if the student is only served in General Education or Resource Room and School Psychologist and IEP Case Manager if student is served in a self-contained program. If you are in a different role, please connect with the ISSD manager/director for that school to discuss the student case.

You can order shields with drapes from your school building office manager if you did not order any from our centralized process OR need more. They are available from the warehouse for the building office staff to request.

BOOK STUDY starting soon: This book study for preschool, DK, and elementary IS staff will cover the new book Comprehensive Literacy for All: Teaching Students with Significant Disabilities to Read and Write. Join us on select Wednesdays (8:15am, 2:40pm, or 3:10pm) to review and discuss sections from this book and learn how to implement research based strategies for comprehensive literacy instruction (emergent and conventional) for your most significantly impacted students.
The book AND clock hours are provided. Together, we CAN teach every student the literacy skills they need to read and write. Email Melissa Petersen or Heidi Brislin to get a copy of the book. Our first meeting is November 10th!

Please be conscious of the extremely high demand for interpreters during conference week. If you are holding any SpEd meetings that require an interpreter, please coordinate with the teacher as interpreters may be scarce. If it is possible to wait, please consider waiting to hold a meeting that requires an interpreter.

It is time to schedule your beginning of the year conversation and your first observation!
Schedule your BoY conversation (15 minutes via Zoom) on the ISSD PGAP and Long Form Meetings Calendar. This needs to occur prior to October 20.
Complete your PGAP Planning Sheet and share prior to our meeting.
Share your Part-Time/Annualized calendar (if you are part time).
Schedule your first observation on the ISSD PGAP and Long Form Meetings Calendar. -This needs to occur before winter break.
Please review the 2021-2022 Interpretation/Translation Services Procedures as there have been significant updates to the procedures.
Elizabeth Puga responded to several questions about using Andromeda for evaluations and meetings, and has provided the following guidance:
"We are making an exception, until further notice, for SLPs and Psychologists to request interpreters through Andromeda directly and to copy me on those requests; this applies to all languages. Although this guidance is temporary, it is outlined in the 21-22 Interpretation/Translation Services Procedures to avoid any future confusion."
Psych/BCBA/MSW:
Snohomish County is offering an Introduction to DBT Informed School Counseling Strategies 2 Day Training. This opportunity is only for Snohomish County Schools. If you register by October 5, you will receive a free copy of the curriculum.
OT/PT/SLA:
Both the OT/PT and SLA Leadership Teams have approved the Indirect Service Weeks calendar.
You can always find them on the ISSD calendar, this Weekly Memo ISSD page, and your team sites.
They are also highlighted/italicized on the Therapy Documentation form, but I know most of you have already started using this so it's too late!
Please remember that Indirect Service Weeks are a recommendation and are flexible based upon your discretion and student need. It is our best attempt to get on the same schedule districtwide, but they are flexible!
YES, you can see students for longer than 15 minutes. Please consider what PPE you need and follow physical distancing guidelines.
YES, you can also see students in a hallway if needed. Consider confidentiality and space concerns.

PGAP planning forms will be sent out after Leadership Teams meet this week to approve team goals.
Check out the PD section for information about ongoing professional development offered through the Special Education Technology Center.
Psych/BCBA/MSW:
We are hiring for Office Assistants this week (2 positions replacing Roni among other broader records checking responsibilities). We will not be asking you to submit names to an office personnel member for initiation of an evaluation or transfer. We are working on using the data in IEPOL to run reports to gather this data. Please ensure you are adding projected meeting dates and for evaluations consent dates to help us pull accurate data.
OT/PT/SLA:
Leadership Teams are meeting this week and will approve the proposed ISW calendar created by your BRs (thank you BRs!).
For students who are only seen for Speech or Motor therapy and do not attend school for academics: these students should be served at their neighborhood school regardless of service delivery method (e.g., could be in person or zoom).
AAC Modeling Training
Check your students' accommodations to see if any of them have "Annual AAC modeling training for staff" as one of your training supports. If you do, use the AT/AAC Training request form and the AT team will set that up for you. AAC modeling training takes 1 hour and can be synchronous (zoom) or asynchronous (online professional development module).
Missing iPads?
If you or a student should have an iPad, and don't, fill out the iPad request form and we will get that sorted for you.
Need CORE Boards?
Use the ordering core flipbooks form to order core flipbooks, or staff or student lanyards, to be sent to your worksite.
AAC iPad swap
If you receive a new AAC iPad for a student who is currently using one, please send the older iPad back to Heidi Brislin at the ESC as soon as you are able to swap it out.
AAC iPads
If your student just got a new AAC iPad from assistive tech, make sure that the SLP SETS IT UP before you give it to a student. The appropriate app should be installed already, but you will need to install the vocabulary before a student can use it.

Please schedule your first observation. This must be completed before winter break.
The PGAP/LF planning sheets will be emailed to you from your supervisor.
Pauline Mallory has already shared the draft Part-Time calendar. Please submit those to your supervisor at the time of your conference (if needed).
Health and Safety document - we have heard several questions about small groups! There is no cohorting required per the MOU or the Health and Safety document. You can pull students individually or in small groups (please follow guidelines for social distancing based on the room size) for service provision.
Please review the Continued Guidance Regarding Mask Wearing. Masks are required to be worn in the Edmonds School District when on site.
While we acknowledge that you may not need to wear an N95, we have given authorization to HR for all ISSD staff to be fit for an N95. Please let your supervisor know if you have not yet been fitted.
Please submit your Vaccination Verifications as soon as possible. Please see the email from HR for specific details. You have several options to complete this:
You can verify at your work site (e.g., one that you work at more than .5 FTE)
You can verify in-person at the ESC on 9/15 from 9am to 4pm

These first two weeks are designated for indirect services to students so please use this time to schedule therapy, visit classrooms, and review goals.

Please review principal responses about OT/PT Therapy/Storage Spaces in Buildings and confirm that the space will work! Please let your supervisor know if there are concerns.
Boardmaker 7 Editor update
Boardmaker 7 Editor will be deployed using the district Software Center.
Remember to be on district wifi when using the software center. You cannot do the update from home.
EVERYONE who uses Boardmaker needs to install this update.
You can still join the book study. Not only will you learn great strategies that you can immediately use and have some wonderful discussions with co:workers-you can earn complete a Professional Growth Plan and earn 25 extra clock hours!!
