The Club Executive Committee decides to present the program, then discusses it with their members.
Club chooses whether the program will be conducted during regular Club meetings or outside the Club meeting.
Note other decisions made to ensure those are included when running the program.
Choose a Speechcraft Coordinator (SC) - note what qualities are required for an SC.
Seek an Assistant Coordinator (AC).
Decide how long the course will go for (e.g. 4 or 6 weeks, weekly or on a few weekends)
Budget to be prepared by the SC/AC.
Establish how many people will be attending the course (ideal number if about 10-12 participants).
Decide the cut-off date minimum number of participants to break even in the budget and whether the course should be cancelled.
It is suggested that the minimum number of participants is six (6), depending on costs.
Costs to be considered are: room hire, equipment (e.g. power point projector and screens), dinner, promotion and publicity, course materials, coordinator's and participants' handbooks, certificates, folders, photocopying, incentive to join, graduation dinner.
Depending on the venue there may be other factors to consider - plan to make sure everything is included.
Once you know your costs you can work out how much to charge attendees.
The program should pay for itself; excess funds must be placed in the club's bank account and used for education of its members and further membership building campaigns.
"Clubs in formation" are encouraged to conduct Speechcraft sessions; however they must have a "Sponsor Club" (an active Toastmasters Club) to process funds through its club's bank account. No funds should go through an individual's bank account.
NOTE: Clubs cannot charge attendees more than about AU$140 (equivalent to US$90).
