As people respond to the promotion and submit completed registration forms, prepare a list of names, phone numbers and email addresses. The coordinator usually responds to these enquiries. Determine who is responsible for enquires.
Prepare a registration form for the prospective participants to complete (see templates section). Make sure to collect their contact details and it is a good idea to find out why the chose to attend the course.
Determine how payments will be accepted.
Fees should not go into a members' personal bank account, but go into a the host club's account.
"Clubs in formation" must use an active Toastmaster's club (Sponsor Club) to process funds through that club's accounts.
Contact speechcraft@toastmastersd70.org to find a Sponsor Club if one is needed.
Determine what other information to collect in the forms, e.g. how he/she found out about the workshop.
Ensure any information collected is secured privately and used only for the purpose of conducting the workshop unless permission is granted to use it for other matters.
Ask the Treasurer to check the bank account, and to confirm when participants have paid, then tally the total income, make any payments, and issue receipts/invoices.
