Technology Do's and Don'ts

Scheduling: The Do’s

• Control who you distribute meeting invite links to.

• Verify your Google Calendar sharing so that other team members arrive at the right zoom room.

• Set your meeting to mute new people on entry

• Enable the waiting room

  • There is a setting on Zoom that allows you to customize your waiting room message and add a logo

Hosting: The Do’s

• Use your waiting room to welcome attendees if you have enabled it.

  • Please note that webinars do not have a waiting room option

  • It can be useful to disable the waiting room setting after most attendees have joined and the presentation has started. This allows the presenter to focus on the content. You can disable the waiting room using the Zoom toolbar once in the meeting.

• Consider locking your meeting after everyone has joined.

• Become familiar with the security options on the toolbar.

• Use the “On hold” and “Remove” features when necessary.

  • “On hold” means to disable sharing to minimize disruptions

  • “Remove” can be used to eject a participant who has been repeatedly disruptive.

• Join our Zoom troubleshooting support room for recruiters if there are any technological issues.  (This Zoom link was mailed to you.)

Hosting: The Don'ts

• Use your Zoom Personal Meeting ID (PMI).

• Host alone if you’re running a large meeting (if possible).

• Enable Screen Sharing unless necessary

Additionally, please create a slide for when you may need to step out so students are aware that you will be returning.
