Booking Procedure

1. Enter the required information from the reservation form of the service you are interested in and submit your request.

2. We will respond to your request within 2 business days to the email address you used to make your rental car reservation.

【Reservation Requests】

・ If the reservation is available, we will send you a booking confirmation email.

・ If the reservation cannot be made, we will inform you by email.

【Advance Payment Required Bookings】

If advance payment is required for a booking, we will inform you in advance and then charge the credit card used at the time of rental car booking after receiving your confirmation.

① If advance payment is required before booking, we will inform you by email (such as reservation price, ticket price, postage required when mailing tickets, etc.).

② Please reply with confirmation if you consent to the billing required for the reservation.

③ If you consent, we will charge you the amount, complete the reservation, and send you a confirmation email with the reservation details.

If you do not agree to the payment, the booking request application will be cancelled.

※If we do not receive a reply from you, the request will be cancelled.

【Recommendations】

① We will send you proposals by email that meet your needs.

② If you would like us to make a reservation for one of the options, please reply with confirmation.

3. If your booking requires a physical item to be mailed to you (such as tickets), we will confirm the delivery location with you by email.

We can offer delivery to your hotel or a conveniently located post office.

*The pickup date will typically be about 1-3 days before your usage date.

Please receive the tickets, etc. at the specified address on the specified receipt date.

4. On the day of your booking

【Restaurant and Hotel Bookings】

You can proceed smoothly by telling the staff the name used to make the reservation.

【Golf and Activity Bookings】

In addition to the booking name, you may need to provide a booking number or booking certificate.

You can confirm the booking number or booking certificate from the confirmation email sent by ToCoo!.

【Ticket Bookings】

Please present the mailed tickets or e-tickets sent to you by ToCoo! at the event location.

Changes & Cancellation Procedure

1. Please reply directly to the confirmation email of the booking you want to change or cancel with the details.

2. We will reply to your request within 2 business days, so please reply to that email.

3. We will send you an email confirming the change or cancellation if it is accepted.

*Please note that some reservations cannot be changed or cancelled.

*Change or cancellation fees may apply depending on the service. If such fees are required by the provider, those fees would be charged to the credit card used at the time of rental car reservation.

*Activities may be cancelled at the discretion of the event provider due to inclement weather.

Cancellation Policy

1. If a cancellation fee is incurred (including no-shows), the customer will be charged at the credit card used to make the rental car reservation.

Cancellation policies vary according to the regulation of each service provider. Detailed information can be confirmed from the reservation confirmation email.

*Please note that some service providers may cancel a reservation automatically if you are late.

2. Refunds for reservations paid for in advance will be handled in accordance with the policies of the service provider.

If a refund can be made, please be aware that is may take up to 1-3 months to process by your credit card company due to the nature of overseas transactions, even if ToCoo! has already finished the refund procedure.

Disclaimer

1. Our responsibility in the concierge service is limited to arrangements for use, reservation, or purchase by means of mediation when a contract is established with the user. We are not responsible for anything other than this.

2. We are not liable for any damages or disadvantages caused by the user not completing payment by the payment deadline.

3. In the event of troubles or disputes between the user and the service provider, it shall be resolved directly between the user and the service provider, and we shall not be liable for any reason.

4. We shall not be liable for any damages caused by the failure of the user's email system or transmission route to deliver the email from us to the user.

5. When using the concierge service, the user shall be responsible for their own acts, and in the event of damage to a third party, they shall settle the issue as their own responsibility and expense.

6. We may provide information or advice to users from time to time, but we are not responsible for any issues arising from such consulting.

7. We do not take any responsibility for any damages caused by the user violating the terms and conditions set by ToCoo!.

8. We shall not guarantee the authenticity, accuracy, reliability, etc. of the information posted by us or the service provider to the user, and shall not be liable for any damage caused to the user due to the information.

9. We do not accept any complaints to facilities or service providers. Please contact each facility or service provider directly.

10. If the reservation is changed or cancelled at the discretion of the service provider, we are not responsible for the loss of the user.

11. We are not responsible for any loss of users caused by cancellation.

12. Even ToCoo! is liable for damages, unless there was any intentional or gross negligence, and the user has suffered direct and actual damage, we shall only be liable for damages up to the maximum amount of the ticket or reservation fee, and will not be liable for damages arising from special circumstances.
