Purpose. This handbook establishes common operating expectations for all after-school STEAM programs and provides league-specific conduct guidance based on district expectations and official program resources.
Coaching time cap: Up to 6 hours of coaching per program per week may be submitted for coaching-related duties, including planning, practices, and competition preparation. It is recommended that coaches focus on one program per season.
Consistent roster: Coaches must build and maintain a stable roster of students throughout the season. Student participation should remain consistent during coaching hours, and alternates should be used intentionally rather than as a replacement for regular attendance.
Closure of program for lack of attendance: Programs must consistently have a roster and attendance of more than 4 students. Consistent attendance of 2 or fewer students over a two-week period will result in that team being collapsed for the remainder of the season.
Team size by program:
FLL: Teams must consist of 8-10 students
FTC: Teams must consist of 3 or more students. Teams are 8-15 students. 2 coaches per team max.
Esports: Rocket League, 3 students, Marvel Rivals, 6 students, Smash Bros, 3 students, Mario Kart, 3 students. 1 coach for every 8 students. No more than two coaches max per school site. This is approximately 1 coach for every 8-15 students. If you have less than 8 active Esports students, your site will need one coach.
ADC: Teams must consist of 3 students minimum per team and a max of 8. 2 coaches max per school site. Each site may have two teams with a max of three active teams based on the number of active, participating students. Two coaches max per school site. This is approximately one coach for every 1-2 teams. A team typically has 3-5 students with a max of up to eight students and one coach. If you have only one team at your school site, your site will need one coach. Each site may have two teams with a max of three active teams based on the number of active, participating students.
Attendance required for compensation: Coaches cannot be compensated for coaching hours if students are not present and not signed in through the program’s daily attendance process.
Roster + timesheet alignment: Coaches must submit student rosters along with monthly hourly timesheets. Student sign-in sheets must match the hours submitted. Failure to submit timesheets with consistent rosters and matching attendance documentation will result in hours not eligible for compensation.
Monthly timesheet deadline: Coaches must submit timesheets monthly before the 4th day of each month. Late submissions may result in inconsistent extra-duty pay schedules.

Preapproval for hours outside of league season: Any hours submitted outside of the listed league season must be preapproved in writing. Timesheets submitted with unapproved hours outside the league season will not be processed.
End-of-year timesheet deadline: The final deadline for timesheets/hours for the year will not be accepted after July 3. Any hours submitted after that date will not be approved or accepted.
Attendance logging: Use the EdTech-established attendance logging process for each practice, meeting, or approved program session.
Timesheet logging: Use the EdTech-established timesheet process and ensure submitted hours match attendance records and approved program activities.
Coach meetings: Attend required coach meetings for program updates, compliance reminders, scheduling, safety guidance, and competition planning.
Competition participation: Attend meets and competitions when available and ensure students are supervised, prepared, and supported.
School and district policies: Follow all applicable school, district, facility, transportation, supervision, and communication expectations.
Supporting programs and events: Coaches and students, if possible, participate to set up and prepare for events and competitions at CUSD sites for their respective programs.
Create a respectful, inclusive, emotionally safe, and academically purposeful environment.
Model integrity, professionalism, sportsmanship, and appropriate communication in person and online.
Keep programs student-centered: coaches guide, teach, and supervise; students actively participate and own the learning, building, strategy, design, coding, and competition work appropriate to the program.
Follow official league rules, district expectations, facility rules, and event procedures.
Address safety or conduct concerns promptly through site, district, and/or organization reporting processes as appropriate.
