A guide to booking accommodation

Here's our online booking guide for you and your guests.

Your guests will need to use a 'secret code' to unlock the availability for your wedding dates.  We recommend that you also give your guests the accommodation prices so that they know what to expect and it often saves confusion when booking things like the Garden Shac bedrooms.

Please let Kelly know as soon as you're ready for your guests to book online and she can create your secret code for you.

Type in your secret code in the box underneath the drop down month selector menu and press apply.  Enter this code before you select the date.

Select the month of your wedding and you'll then see your wedding date available in green to select and book for 2 nights.

Once accommodation is selected, update the number of guests and press book to see the full price including catering.
Garden Shac bedrooms must be booked individually for up to a maximum of two guests.
Hill Shac suites (two bedrooms) must be booked individually for up to a maximum of four guests.

If your guests would like to stay the Sunday night too, they can just pop a note on the booking and I will manually add that and adjust the price (this is for weekend weddings only).

Your complimentary Onsen Dome
You have up to 3 nights complimentary in an Onsen Dome from 4pm on the Friday of your wedding weekend*.  It's up to you which one you stay in, but we'd recommend 9 as it offers the most privacy.  Let us know which you'd prefer and if you'd like it for 2 or 3 nights.  We can then get that booked-in straight away.
*If you have a 2 night midweek wedding you will have a 2 night complimentary stay in an Onsen Dome.

Terms & Conditions:
We confirm a booking with a 25% non-refundable deposit with the balance processed 8 weeks before the arrival date. Please click here for our T&Cs.

Allocation sheet:
As your guests book we will keep your accommodation sheet on your planner updated as often as we can so that you can see how things are coming along.  You may also use it before you send everything to your guests if you wish to plan where you would like certain guests to stay.  We can then make sure that they have booked the right thing!

Accommodation prices:
There is a link to your prices on the information email Kelly has sent to you, as well as on your accommodation tab on your wedding planner.
We recommend that you also give your guests the accommodation prices so that they know what to expect and it often saves confusion when booking things like the Garden Shac bedrooms.
It is worth letting your guests know that your wedding two night celebration and prices include their arrival evening supper, breakfast on their first morning & a brunch on their second morning.
We sometimes get asked for 1 night stays – it is strictly a minimum of 2 nights with a check-in the day before your wedding.

Bedding & Towels:
All accommodation has bedding & towels provided apart from the futon camp beds in the Bathhouse & Treetop Domes.
Guests can hire a sleeping bag, pillow and towel at £15pp if required for the above.

You see our access statement here.  If you do have any guests with mobility issues please let Kelly know so that we can chat through your options for accommodation. 

Guest Information
When a guest books they will instantly receive a booking confirmation and on that is a link to this fforest farm guest guide .
This will automatically be sent a week before their stay too.
The lead name on the booking is responsible for passing this information onto everyone in their accommodation.

Guest Check-in day
Check-in is between 4-8pm.  Any late arrivals must let us know in advance so that we can make alternative arrangements with them. 
On the morning of arrival we will text the lead name on each accommodation booking with a reminder of check-in details and directions.  They can reply to that text to keep the check-in team up to date with their ETA and also if they need anything during their stay.
We will also text them a link to book a sauna slot if they wish :).

Guests staying in Ty Fforest, Crog Lofts and Garden Shacs will be directed to car parks close by to their accommodation.
All other accommodation must park in the main car park and we have a luggage delivery service for them.

Security deposit pre-authorisation
On the day of arrival we will pre-authorise £100 to the lead name's payment card for each unit of accommodation they have booked.  It's £300 for Ty Fforest farmhouse.  This is to cover any incidentals, loss, damage or extra cleaning incurred. It is temporarily held by the card company and then released within 7 days if all is satisfactory upon departure. 
The above information will be on confirmation emails, in the guest guide and also in the reminder email sent a week before.

Check-out
For guests departing on a Sunday check-out is by 12pm (midday).
For all other days, check-out is by 10am
