Guardian is a case management software that CMS has adopted to help streamline and improve incident reporting and case management activities. Student Discipline and Behavior Support will utilize Guardian for incident reporting and case management.
School Admins will use Guardian's Incident Report forms to report incidents happening in their buildings. SDBS will utilize the software to manage case processing activities such as scheduling meetings, collaboration on case activities, and generating important reports.

School Admin sends the incident packet to SDBS using the Incident Report Form.
Data Managers view the packet and assign Case Owner to the IR.
CA Receives notification of the task assignment via Guardian and email informing them that they've been assigned a case.
CA accesses the case and clicks the Case Details to Review the packet. If the packet is compliant, CA checks off Review Information task and assigns the next task.
Otherwise, email admin to fix the packet.
CA Schedules PST Meeting using the Schedule Meeting Feature. After that, use the Checklist to assign next task to relevant parties & Change Case Stage to PST Recommendation.

CA uses the Send Form Feature to post CA PST Recommendations. (Select Form Type >> Fill Out Form >> Send)
Use Checklist to assign next task to relevant parties and Change Case Stage to Pre-Approval.

Pre-Approval team uses the Notes feature to make their recommendations on the case.
Then, use the Checklist to assign the next task to the relevant parties and Change Case Stage to Final Determination.

The Final Determination Team uses the Notes feature to log their final determination on the case.
Then use the Checklist to Assign the next task (Call Parent/School) to the Case Owner.
✅Check off the current task when done.
CA calls parent and school informing them of the PST outcome. Log these calls as Events and use the Checklist to assign next task to the Data Manager IIs and change case stage to Send Letter.
✅Check off the current task when done.
DM IIs use the Charges, Interventions, and Sanctions to assign the Rule Violations, Interventions, and Sanctions recommended by the PST, Pre- Approval, and Final Determination teams.
DM IIs generate the letter and send it to the parent/guardian and other relevant parties.
Then, they close the case and check off the tasks from the checklist.
