Guardian is a Case Management Software that SDBS will utilize to streamline the Problem Solving Team and Long Term Suspension Processes.
SDBS will utilize Guardian in the following processes:
Submission of PST Packets: School Admins will use Guardian's Incident Report Form to submit their PST Packets.
Schedule Meetings: SDBS Staff will utilize Guardian to schedule PST meetings using Guardian's Schedule Meeting feature.
Collaboration: Guardian encourages real-time collaboration amongst SDBS staff in the following ways:
Multiple staff members can access cases simultaneously.
Staff can use Guardian features like Notes, Events, and Emails to communicate within the case.
Case Monitoring: Since it is a one stop-shop case processing platform, users can monitor case progress. Also, the Checklist feature allows staff to pass the case from one desk to the other seamlessly. Users can also use the My Tasks tab to keep tabs on tasks assigned to them.
Reports: Guardian allows SDBS staff to generate different types of reports for different scenarios.
Cases: This is your Guardian dashboard. It gives you a bird's eye view of your cases/tasks. It is from this window that you can navigate to different cases and see how far along the workflow each case is. It has two views: Workflow and List.
Checklist: This feature allows you to monitor the nitty gritty of case processing. It also enables users to assign case tasks to other staff members involved in the case. It is important to use this functionality as it makes the "My Tasks" tab functional.
My Tasks: Click on this tab to access all your tasks or tasks assigned to you by other officers.
Case Details: Click this button to access the PST Packet submitted by school admin. This is the page to visit when performing the Review Packet step in case processing guide.
Change Stage: This is an important feature that staff involved in case processing will utilize as it ensures the dashboard is accurate regarding which stage of the workflow the case is currently at.
Notes: Users should take advantage of this feature to make case processing more interactive. For instance, you can use notes to ask for clarification from those involved in the case.
