Thank you for volunteering to chaperone our orchestra and band field trip to Orlando, FL. We rely on the support of chaperones to help make this trip a fun and safe experience for everyone.
At this time, please review the following expectations for chaperones. If you have any questions about what is expected, don't hesitate to get in touch with Mr. Namkoong (ryan1.namkoong@cms.k12.nc.us)
Chaperone Expectations:
Ride the bus with students to and from Orlando, FL, and to all activities/places of interest.
Please make sure to supervise your assigned group of 5-8 students at all times. Universal Studios is a fantastic place, but not without hazards. The only way to know what your students are up to is to be with them. Please plan to be with your group from 7:00 a.m. for breakfast to begin the day on time.
Please contact Mr. Namkoong right away in case of an emergency.
Follow the itinerary. Please be sure your group is where it is supposed to be at all times. Chaperones may not deviate from the established itinerary and group.
Be on time! This means your group should be at the assigned locations approximately 5 minutes before the listed times. This ensures a smooth transition from one event to the next.
Follow the directions given by the school’s supervising administrators, comply with school policies, work cooperatively with other chaperones, and model appropriate behaviors for students.
Chaperones may not use, sell, provide, possess or be under the influence of drugs, alcohol, tobacco, e-cigarettes, or any other substance not permitted on CMS school properties at any point during the trip; THERE ARE ABSOLUTELY NO EXCEPTIONS TO THIS EXPECTATION!
To protect both the student and the chaperone, chaperones should not place themselves in situations where they are alone with a student. Whenever possible, a chaperone must not enter a student's hotel room unless there is an emergency.
Communicate with students via group text. This is also where chaperones and the trip leader will communicate as well.
Be engaged with the program. You are a role model for the kids around you, and if you are engaged and excited about a sound design workshop and parks, they will, too. So, we would like you to limit texting and phone calls to emergencies.
Have fun! The students will pick up on your energy. If you are having fun, they will too!
Awareness of students' location: You should always know the location of all your assigned students.
If a student is self-carrying medication, the chaperone will double-check with the student about the plan for taking it.
Knowing and Protecting Students' Personal Information:
Student's contact information, including info such as full names, date of birth, and phone numbers
Student's medical information, including allergies, illnesses, disabilities, and medications
Escorting students to meals: Mealtime is a very important part of the students’ time in the program. As the Chaperone, it is your responsibility to work with the students in your group to meet each student's specific dietary needs. Consider when selecting restaurants for students. There are several things to consider when choosing meal locations:
Please choose locations that are well-suited to students with the most frugal of budgets.
Meals should be held at locations that can accommodate individual orders and checks.
Select locations that are appropriate for the length of the given mealtime.
Breakfast should begin no earlier than 7 am. It is essential that students are able to get as much sleep as possible.
Performing Room Checks: Chaperones are responsible for nightly room checks. Below are the room check guidelines.
Chaperones will go door to door nightly with a room list
Stand in the doorway of each room and confirm by sight that all students are in their rooms.
Communicate the expectation that students are not permitted out of their rooms after room check.
Provide any necessary information to your students regarding logistics for the following day.
Once all rooms have been checked, message Mr. Namkoong that your group is accounted for for the night.
If a student is not in their room at the time of room check, inform Mr. Namkoong.
