What is an Availability?
Your availability refers to the days and times you are regularly available to be scheduled.
Example : If you are available most Mondays but only need one specific Monday off, you would need to submit your request as a Time Off Request. If you submit your request as an Availability change request (if approved) would result in you being off every Monday.
When should I update my availability?
If your overall availability is changing, (For example: when any extra curricular activities change your ability to be at work) all changes must be submitted on Hotschedules with detailed reason and approved by the Operations Director or General Manager. The system requires a 2 weeks notice to allow the request to be sent.
How do I change/update my availability?
On the HotSchedules app, select the three-line menu button on the upper left-hand side.
Select [My Availability].
Select the [+] button. This will pull up a calendar to allow you to select which date you would like the new availability to begin taking effect. The system will not allow you to submit your request for a date that is less than 2 full weeks in advanced.
Even if you would like to only make a change to one day, you will need to update the entirety of the week. When setting up your new availability, the default setting is, Available (from open-close). If you would like to be available for just a portion of the day, you will need to change the selection to Partially Available.
Be sure to save your changes and add a short description and reasons for the change.
How do I request time off?
If you are unavailable for just a few hours in a certain day [i.e a doctor's appointment], please only request the actual time needed off. This will allow us to more easily approve the time-off.
When is my request due?
Time-Off Requests must be submitted TWO full weeks in advance. These are requests and are never guaranteed.
You will typically receive an answer within 1 week of submitting the request.
Our Scheduler is limited regarding how many early approvals may be granted, per day & per shift, to reduce the likelihood that our shifts will feel understaffed, to the overall benefit of our collective team & guest's experience. If your request for a day off has been denied, this is likely the reason why.
Requests are granted on a combination of factors
First come first serve : you'll want to submit your requests for time off before our scheduler's allowance for your desired day has been used up
Loyalty : Length of Employment
Seniority : Leadership Position
Frequency : Those who rarely make requests for time off are more likely to be approved than those who are constantly asking for time off.
Request may be submitted up to 6 months in advance.
If you are scheduled for a shift you do not want to work, you have the option to try to get it covered. Excessive shift drops can result in a reduction of your hours.
All coverage and shift-swapping must be approved through HotSchedules.
If your trade or swap is not approved in a timely manner, contact the Shift Leader for that shift.
What do I do if I am unable to work my scheduled shift?
Release your shift on HotSchedules
Post your shift in Attendance & Punctuality Chat on BAND.
Call the store at least TWO hours before your scheduled shift to notify the Shift Lead, regarding who is covering your shift.
Open [My Schedule] on Hot Schedules
Select the shifts you want to release (if you have multiple shifts in one day you must release them individually)
Select [Release this shift]
Release the entire shift and select [Confirm]
Even if there is a pending pick up, any shifts displayed on your schedule, are YOUR responsibility
Specific days that you need covered - [EX: Wednesday 15th]
Start and end time of your shift - [EX: 11:00 am to 5:00 pm]
Follow up with additional posts if necessary.
Post on the Attendance & Punctuality Chat and tag appropriate leader(s).
Call in, a minimum of 2 hours before your shift.
Speak to a leader and follow the instructions they give you.
Call the store, DO NOT text or call leaders personally.
