The list might not be accurate as some participants will have changed school. You can highlight in red if they are no longer enrolled in school

Step 1: Support Participants with Applications
Contact youth from your target list, send draft email. Schedule classroom/lunch assistance
Connect with school staff to schedule visits/find target youth
Update All Phases Spreadsheet daily based on YEPS SEARCH/REPORTS (custom date search 10/09/2025-03/22/2026)
Offer to import previous application. Make sure school, contact info, and address are all updated. Best practice: Sit with them and complete application for them.
Run reports on YEPS to keep track of you numbers multiple times a week (SB, MAP-MORRIS ONLY)- (custom date search 10/09/2025-03/22/2026)
Step 2: Manually Select Participants
Access to report of complete applications here (Not entirely accurate, watch this video)
After watching video, manually select your participants on yeps. Best practice: Always search by APP ID (custom date search 10/09/2023-03/22/2024)
Key staff will run a Master report every 2 days so you can use this to copy and paste to your spreadsheet and select base on this

Step 3: Inform Participant of Program Selection
Once participant is selected, send this email. Make sure to edit your parts on email & enter individual deadline to submit docs
Update communication section in All Phases Tracker daily, this secures your pay
Follow up via phone or text with participant regarding deadlines, docs, & forms
Review all docs/forms & have them make any corrections before deadlines

Step 4: Document & Form Review
Select participant application. Check"Documents" tab to review documents then send this email . Complete the provider intake survey found at the bottom
Review enrollment forms (PES, 1-9, & W-4 if applicable) via "Report" tab in participants application
Update tracker immediately with date, status, and update
Enroll if key documents are submitted and clearly visible, update tracker, send draft email with next steps
When enrolling enter the social as it appears in the document provided, not the application as it may be wrong
Once participant is enrolled, send this email.

Social Security Card category.
Proof of School category (Report Card, Transcript, or school verification letter)
If Missing:
Working paper/selective service mark the option in the document tab: THEY WILL BE PROVIDED LATER.
Proof of address: Enroll with caution. Make sure address on file is complete, if participant provided school transcript it can also fulfill this category
Update all phases tracker immediately with date, status, and update
You are responsible for missing docs. Follow up often

*Allow the system to enroll the participant. Do not select the “Accept” button more than once!
*If the SSN is incorrect, please call CSS at 1-800-878-7991 between 9am-5pm to correct it.

Access to Sexual Harassment Form Responses
CUNY/WORK READINESS-ALL MEETING -STAFF ASSIGNED/SCHEDULE MASTER LIST: HERE
- In the 1st TAB, you'll see staff assignments, classroom links, and attendance roster for each individual facilitator.
- The 2nd TAB has general links for sign-ins and the link to post in the chat and live response spreadsheets so staff can review correctly who is attending the meeting and update their attendance
- The 3rd TAB contains contact information for facilitators and the full course roste in case you need to call one of them.
FULL ROSTER COURSE ASSIGNED HERE - This is our master report with all enrolled participants. Please do not touch this as this is only updated by Keilyn or myself. Use this if you want to quickly find a participant in case they are not aware of their classes.
You can review the tab called schedule availability in case you want an updated email recently provided by a participant.
MAIN FOLDER WITH ALL ATTENDANCE SAVE HERE- Even though your ALL MEETING -STAFF ASSIGNED/SCHEDULE MASTER LIST has direct link to your attendance, we have saved in the folder sub folders by type of meetings in case you prefer to starred this folder in your Gdrive
PAYROLL ARE BASED ON HOURS: 0,1hr(partial), 2hr(full) for CUNY and 0,1.5hr(partial), 3hr(full) for Career exploration/work readiness
During meetings:
Please be ready to join 10-15 minutes early to chat with the facilitator about the day's agenda. If you have important announcements, arrange to discuss them before or after the class.
Camera's on
Confirm with your facilitator how they want to take attendance – there are entry and exit tickets to help track late arrivals or early departures. Make sure you know when to post these tickets.
Remember DYCD staff will be joining so inform your facilitators as well.
While on the meeting, update your attendance and text the no shows.
Enter hours on YEPS between Wednesday-Sunday
Do not enter 0 hours as students might be joining a wrong meeting by mistake
Do not assume if a participant does not attend your school/contract you are not responsible for their hours.
Retention:
• Weekly Email reminders is sent out to participants about the CUNY Course & WRT/Career exploration
• If a participant is absent, staff will follow up with phone calls or emails to check in
• Staff and program director communicates with the schools via in person, phone calls or emails to follow up on participants
• Partnering schools are looking into giving extra credit for completing the CUNY course
Engagement:
• Relationships with the participants have been built over time, which makes communication and follow ups easier
• Providing more in person service has also been a great way to be more interactive with participants.
• At the end of the program there will be a celebration.
Communication is key:
● Reminders
○ Remind weekly participants the day of with classroom meet link/zoom information
○ Via email, phone, and/or in-person at the school
● Follow-ups
○ Follow up with participants on the session and/or assignments
○ Follow up with CUNY instructors on participants' progress
● Troubleshoot
○ Follow up with participants that have trouble log in
Regarding our school/stakeholders partnerships:
● Develop a strong relationship with the school partners/stakeholders
● Work closely with administration, teachers, and counselors who knows the participants best
● Keep school updated on the program and participants’ progress
Please make sure to communicate with enough time any meetings you have a conflict to attend so one of the key staff can find a replacement.
