Oxford Brookes uses Google Suite and when you check your Brookes email account you must log in to Gmail as follows:
(your staff number)@brookes.ac.uk and use the password you set up via the link you were sent. So, for example, d00009999@brookes.ac.uk.
We strongly advise that staff set up
Accounts are set up to have a duration of one year, and unless we receive a request from you or your Line Manager to extend the duration of your account it will be closed. You will receive several reminder emails that your account is due to close. We strongly advise that you set up forwarding from your Brookes account to the inbox you use the most, which for most staff is their college email.
3. You will be able to use your OBU staff number and password to log into many of the OBU systems, however, some systems require that specific access be set up for you. Access to systems will be requested on your behalf as dictated by what you requested in the original staff request form you submitted. Basic access requests are as follows:
Teaching staff have access to:
ARGOS reports for their organisation
Student Information (mark entry/exam committees)
Support/professional services staff:
ARGOS reports for their organisation
Student Information (if Line Manager requested this)
Access to CRMr (Admissions staff if requested)
If you require access to other systems and did not note this on your staff request form, then please contact the inbox below who will be able to assist:
ca-affiliatestaffrequest@brookes.ac.uk
To reset a forgotten password or set your first password you must have a personal (non @brookes.ac.uk) email address on record with either HR (staff) or Student Services (students).
If you no longer have access to the personal email address on your staff or student record you will need to request that the appropriate department makes this update on your behalf. Students should contact Student Central. Staff should complete this form. Once updated by HR or Student Central, your personal email address will be synced back to our identity and access management system, usually within an hour. You will then be able to carry out the password reset/set process.
You must know your staff or student number (sometimes referred to as your User ID). New starters will receive this via email to their personal email address ahead of starting at Brookes.
The account you are trying to reset your password for must be Active. Staff and student accounts become active no more than 14 days prior to your first day. Staff account access ceases immediately after your final working day, and student access ceases 300 days after course completion.
You can reset a forgotten password provided you have a personal email address on record with either HR or Student Services. You can also use this process to set your first password if you didn't manage to do so before your original invitation to do so expired.
Visit the Secure Forgotten Password Reset page in Ideiio
Input your staff or student number into the USER ID field and click Reset my password.
An email will then be sent to the personal (non-Brookes/owned personally by you) email address which is recorded in your staff or student record.
Open the link contained within this email and follow the instructions to set a new password and ensure that your new password meets the Password Requirements.
Please note that the password reset link contained in this email will expire in 48 hours if not used. You can repeat steps 1 & 2 in this process at any time to trigger a new email with a fresh link.
Please note:
Recovery emails can take up a few minutes to arrive in your personal email inbox. At times of the year when many user accounts are being generated (e.g. prior to the start of semester) this can be up to 30 minutes.
If you do not receive your password reset email please first check your spam/junk folder. If you are still unable to locate the email, please check and confirm that all prerequisites at the top of this article are being met. If they are, please contact Brookes IT Services.
