If a student is entering with prior credit from another institution then their prior credit needs to be confirmed at the application stage via a C103F form. The completion of this form replaces the F103 form and M103 form that were previously in use to confirm prior credit.
The student should provide evidence of their credit which should be checked by the faculty and College. This form is confirmation that the student has submitted sufficient evidence to be awarded credit. Credit can be from qualifications, or non-education means e.g work experience.
You will need to confirm type of credit, where and when it was achieved, and map it against the student's programme at Brookes. You will find step-by-step guidance at the bottom of the page regarding how to complete the form. Completed C103F forms will need to be returned to Admissions (admissions@brookes.ac.uk), cc Dimple D'Mello (ddmello@brookes.ac.uk).
IMPORTANT: Information from the form is converted directly onto a student’s record so that the Student Records System (Banner) can read and include it in the process of checking the student’s programme and generating programme errors . It is therefore essential that the credit awarded is based on the subject rules that will apply to the student at the point they enrol:
The rules under which a student is considered for Stage I credit are those in operation when the student entered Stage I.
The rules under which a student is considered for Stage II credit are those in operation when the student entered into Stage II. Please note, in this instance the Stage I rules for the year of entry will also apply and are not backdated.
Example: if a student applies to enter in Foundation Year 2 from September 2022, the AY 2022/23 programme rules will apply. Prior credit will need to be mapped against the programme rules of the student's year of entry (2022/23).
Prior credit approved with a mark (i.e. Brookes prior credit) is always included in award calculations. This applies to all programmes (AFR and non AFR). Only prior credit that doesn't have a mark (i.e. non-Brookes credit) is discounted in the calculations.
Please refer to Brookes regulations "3.7 Award of credit via the accreditation of prior learning". Maximum transferable credit is 2/3 of total credit required for the Oxford Brookes Award the student has applied for.
Foundation programmes: students can't bring in more than 150 credits (students must pass minimum 90 Brookes credits)
Top-up programmes: students can't bring in more than 30 credits
3-year BA programmes: students can't bring in more than 240 credits
Please note credit achieved at Oxford Brookes cannot be transferred to a student's registration if it has already been used towards an equal of higher award.
To assess the credit, first read the application and course information about study completed and/or expected to be completed. Assess its match with the compulsory modules from your programme and if you think the modules cover the learning outcomes and content of your course please complete the C103F as per the detailed guidance below. Notes to consider when assessing the credit:
Students re-starting a course at year 1 after failure will need any acceptable modules passed on their previous registration credited to their new registration.
Acceptable failed credit will also need to be applied to the students programme. Therefore you must consider the maximum volume of credit that may be attempted at each stage, including Level 4 credit, and ensure there are enough modules available at each stage for the student to be able complete the award they have applied for.
Students who are transferring credit from a completed Honours Degree into a second degree, can only transfer level 4 credit from their first year and should NOT be awarded credit that will count towards Stage II of the second award. Exemptions should be awarded for modules that have been substantially covered by the previous qualification.
We recommend that credit more than 10 years old should only be considered where the applicant can show that their knowledge has been kept up to date.
Credit should be transferred into the same level at which it was awarded; however, Liaison Managers may use their academic judgement to credit modules at a lower level than that at which they were attained.
Credit at level 7 cannot be transferred to an undergraduate award. If the learning outcomes of a module have been met by previous study at level 7 an exemption may be appropriate.
The C103F form will be passed to PISM for processing once the applicant has become unconditional. This means that the form may not be processed until several months after the offer has been made but we aim to put input credit during the enrolment period.
Registry will note in Banner the following information:
Total amount of credit to be waived
Specific module codes for which credit has been approved
Marks for each credited module if the prior credit was taken at Oxford Brookes.
Maximum duration allowed to the student to complete the programme. Current regulations allows max 5 years to complete a Foundation programme, max 3 years for a Top-up and max 8 years for a Bachelor. The time taken by the student to accrue their prior credit will be deducted from the max duration allowed by Brookes to complete the programme. A note will also be added to the student's Profile page in Student Information.
