Library Logistics
Library Logistics (LL) is our system for transporting books and materials between campus libraries and the LMC, and also between different campus libraries. This service is provided by the AISD Warehouse which incorporates pickup and delivery of library materials into their regular weekly campus delivery routes. This allows our items to "ride free" - that is, to be transported without the need for additional labor and vehicle costs. In order to keep LL working effectively, please note the following important information!
GENERAL INFO
The Library Logistics system is for library use only - specifically, for sending ILLs, books and materials for cataloging, and Professional Resource Library materials between campus librarians, and between campus libraries and the LMC.
LL operates during the school year only, starting the first week of school. Final LL pickups will be a couple of weeks before school ends to make sure everything reaches its destination before the last day of school.
Items will be picked up on the scheduled delivery day for the sending location, taken to the warehouse to be sorted, and delivered on the next scheduled delivery day for the receiving location. Please plan ahead, check the delivery schedule below, and allow sufficient time for this process which can take up to two weeks. (It usually doesn't, but it could.)
Forecast for holidays. If your pickup day is Monday and Monday is a holiday, you will not have LL pickup or delivery that week.
Library Logistics is not for sending discards to the warehouse, collecting non-book items for a campus program, or moving large numbers of boxes at a time. Please respect these guidelines so that we do not risk losing this necessary service.
PROCEDURES
Each campus needs to have a box, basket, bin, or similar receptacle clearly labeled "LIBRARY LOGISTICS" in a visible location in the Main Office. Drivers will not pick up from any other location.
To SEND something through LL, place it in a securely taped box or large envelope. Use a marker to address the item in large, legible writing with the name of the school AND the route number (see the delivery schedule below). Place it in your LL box for pickup. You do not need to notify anyone that you have items for pickup; they will be picked up on your next scheduled delivery day.
Remember to CHECK your Library Logistics box on your scheduled delivery day to see if anything was delivered. In addition to items that you are expecting, there may be materials that teachers have requested from the Professional Resource Library, items from the Materials Processing Center, etc.
TIPS AND TROUBLESHOOTING
Make sure that the Library Logistics box is clearly visible and clearly labeled, and that your front office staff knows what it is and why it's there, and why it's important for it to remain visible and easy for the warehouse driver to find (at least on your delivery day). There are often sub drivers, or new drivers, or drivers covering a different route, and they don't have time to hunt for your LL box.
LL items are transported in warehouse trucks along with a lot of other stuff, and small items can sometimes get stuck under or behind something and misplaced. Pack items in a large manila envelope (at least 9 x 12") or in a box and tape it securely.
If you have a missed pickup or have been waiting more than two weeks for an expected delivery, email Beth Porter.
Please be patient if (when) there are glitches in the system. We very much appreciate the Warehouse providing this service for us because otherwise we would have no way of sending ILLs, books for cataloging, and PRL resources between campuses.
