Haviland Parents and Guardians,
Each year, we carefully evaluate the security processes we use here at Audubon Preschool to ensure the safety and well-being of our students and community. We want to make you aware of an important change designed to enhance our security while also making event entry more efficient.
To strengthen our security, all parents and guardians attending school events or acting as guests will now be required to complete a new security process on their mobile phone. The district will send you a calendar invite for the event, which will initiate this sign-in process.
This system is crucial because it allows you to complete sign-in digitally and ensures that every person coming to an event is authorized to be on the property. Please note: these links are not transferable and should not be forwarded to others. The process is designed specifically to ensure that only invited guests attend. Uninvited guests or additional attendees - including older siblings, teenagers, or young adult children - will not be permitted to enter without administrative pre-approval. Please note that all visitors are required to have a valid photo ID to attend events.
We understand new procedures can take a moment to get used to, so here are the four easy steps to complete the sign-in:
You will first receive a calendar invite from the Principal's Office Assistant.
Following the calendar invite, you will receive an email from the Verkada system, which will allow you to officially sign in to the event.
Once the sign-in is complete, you will receive a follow-up message with a button allowing you to notify the building when you arrive on the premises.
After clicking the arrival button, you will receive a confirmation email that you have completed the entire process. (see reverse for remaining information)
The main office is notified every step of the way. This allows the Principal’s Office Assistant to track the number of attendees who have completed the process, prepare badges, and have a verification sheet ready for those signing guests into the event, making entry seamless.
If you are unable to attend events regularly and wish to designate an alternative person to attend in your place (such as a grandparent or family friend), please notify the Main Office. They will make the necessary provisions to add that person to the event invites.
A key detail: The alternative person will receive the invite, not you. This helps us manage our attendance accurately, ensures we have adequate seating, and prevents us from exceeding the capacity of the event space.
These changes are a significant part of our commitment to a secure environment for our students. We appreciate your understanding and cooperation as we implement this new process.
