What is changing with Microsoft OneDrive storage?
Microsoft will end the 1 TB free cloud storage per user for educational institutions by April 30, 2026. After that, Ateneo will be given only 100 TB of shared storage for the entire university. All individual OneDrive accounts will be limited to 1 GB per user, unless additional paid storage is requested.
Are we immediately affected by this policy change?
No. Ateneo remains under its current Microsoft 365 contract until April 2026, which still includes 1 TB of OneDrive storage per user for students, faculty, and staff. The new policy will only take effect after the contract ends.
What happens after April 2026?
The 1 TB per user allocation will end.
Ateneo will receive 100 TB shared storage across the entire institution.
All users (students, faculty, staff) will have their OneDrive capped at 1 GB per account.
Graduating student accounts will be deactivated one year after graduation.
What should I do to prepare?
You should begin cleaning up your OneDrive storage. This includes:
🗑️ Deleting outdated or unnecessary files
📂 Organizing files into folders
📤 Migrating files to your Ateneo Google Drive or personal Google account
When will the file clean-up and migration begin?
March 2025: Consultations with offices and departments begin
April–June 2025: Units decide whether to clean up or request added storage
July 2025 to March 2026: File clean-up and migration period
February 2026: OneDrive accounts updated to 1 GB storage cap
Why is Ateneo recommending migration to Google Drive?
To prepare for Microsoft’s new storage limits, Ateneo recommends transitioning to Google Drive as the primary cloud platform. Google Drive offers:
Seamless integration with Gmail, Docs, Sheets, and other tools
Ample storage capacity through Ateneo’s Google Workspace
Better collaboration across academic and admin units
Do I need to buy more storage?
Not necessarily. Users are expected to clean up their files or migrate to Google Drive. However, departments with critical storage needs may request a budget for additional Microsoft storage before the transition.
What if I don’t migrate or clean up my OneDrive files?
Once the 1 GB limit is enforced in February 2026, files exceeding that limit may become inaccessible or subject to deletion. To avoid disruption, it is strongly recommended that you manage and migrate your files before the deadline.
Will student accounts still have access after graduation?
No. Student OneDrive accounts will be deactivated one year after graduation. It’s advised to migrate files to a personal Google Drive or storage platform before your account is closed.
How do I transfer my files from OneDrive to Google Drive?
Use the step-by-step guide provided in the OneDrive / Google Drive Migration Guide. In general:
Download files from OneDrive
Upload them to your Ateneo Google Drive via drive.google.com
Use Google Drive for Desktop if you prefer to sync folders
